Job Description

Key Responsibilities

1. Payment Forecasting & Budgeting

  • Prepare monthly payment forecasts for client, supplier, and operational expenses.
  • Track expenses and ensure adherence to approved budgets.

    2. Office Administration & Management
  • Oversee smooth daily office operations, including supplies management, meeting arrangements, and general coordination.
  • Maintain a clean, organized, and conducive office environment.

    3. Employee Welfare & Engagement
  • Manage employee benefits and welfare activities.
  • Coordinate team events, office gatherings, and employee engagement initiatives.

    4. Scheduling & Coordination
  • Schedule appointments, meetings, interviews, and business-related travel logistics.

    5. Reporting & Documentation
  • Prepare internal and external reports as required by the Operations Manager and leadership team.
  • Maintain organized records, company documents, and handle submissions for awards, grants, and other official purposes.

    6. Supplier & Vendor Management
  • Manage relationships with suppliers and vendors to ensure timely deliveries and service quality.
  • Oversee vendor contracts, renewals, and negotiations.

    7.Support to CEO & Department Heads
  • Provide administrative and project support to the CEO and Heads of Departments (HOD).
  • Coordinate ad-hoc projects and special tasks as assigned by leadership.

    8. Customer Service & Communication
  • Maintain a high standard of customer service and manage general inquiries.
  • Ensure clear communication and efficient routing of requests to relevant departments.

    9.Recruitment Planning
  • Job Posting / Recruitment
  • Source potential candidates, and coordinate interview schedules. 
  • Issue offer letters/employment contracts.

Job Requirements

  • Priority Focus: The candidate must be a local Malaysian national who is ready to hit the ground running by April.
  • Language: Mandarin, English, and Malay, the candidate should be able to navigate a multilingual work environment effectively.
  • Experience Advantage: Candidates with a background in Accounting or Admin would be great.
