Job Description

Job Summary
The Business Administration Officer in the Procurement/Supply Chain Department supports the planning, purchasing, and management of goods and services required by the organization. The role focuses on vendor coordination, documentation, cost control, and ensuring procurement activities comply with company policies and procedures.

Key Responsibilities

  • Assist in sourcing, evaluating, and selecting suppliers and vendors
     
  • Prepare purchase requisitions, purchase orders, and related procurement documents
     
  • Maintain accurate procurement records, contracts, and supplier databases
     
  • Coordinate with internal departments to understand purchasing needs
     
  • Monitor delivery schedules and follow up with suppliers to ensure timely delivery
     
  • Support price comparisons, cost analysis, and budget tracking
     
  • Ensure procurement processes comply with company policies and regulations
     
  • Handle communication with suppliers regarding quotations, invoices, and discrepancies
     
  • Assist in contract administration and renewal tracking
     
  • Prepare reports on procurement activities and expenditures
     


Job Requirements

Required Skills and Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Supply Chain, or related field
     
  • Basic knowledge of procurement and supply chain processes
     
  • Strong organizational and administrative skills
     
  • Good communication and negotiation skills
     
  • Proficiency in Microsoft Office (especially Excel and Word)
     
  • Ability to manage multiple tasks and meet deadlines
     
  • Attention to detail and accuracy in documentation
     

Preferred Skills

  • Experience with procurement or ERP systems
     
  • Previous experience in a procurement or administrative role
     
  • Understanding of inventory management and vendor management
