Job Description

Job Overview

Responsible for managing the administrative works, finance and procurement reporting under HQ. The Admin Executive will directly report to Managing Director and Operations Director.  

Job Responsibilities

  1. Meeting Coordination: Assist in organizing and coordinating meeting on behalf of Managing Director (MD).  
  2. Draft correspondence such as emails.
  3. Take accurate and comprehensive notes at meetings.
  4. Responsible for procurement activities related to PO issuance through D365 system.
  5. Consolidating Invoices & Delivery Order from Operation sites, with proper approval; and posting of receipts in D365 prior submission to Finance. 
  6. Asset Management – Manage CAPEX approvals for purchasing fixed asset items. 
  7. Rental Machine Management – Handle rental machine operation and management, including order processing, monthly receipt posting, and maintaining the Rental Machine master list. 
  8. Travel & Administrative Coordination – Arrange staff travel, including accommodation and flights, by coordinating with travel agents and submitting PRFs to the Human Resources and Finance Departments. 

Job Requirements

  1. Currently studying Business Admin, Office Management, HR, Accounting, Finance, or related field.
  2. Basic skills in Microsoft Office (Excel, Word, Outlook).
  3. Good communication skills and able to draft simple emails.
  4. Organized, detail‑oriented, and able to manage documents properly.
  5. Responsible, willing to learn, and able to work with minimal supervision.
  6. Able to assist with meetings, procurement tasks, and travel arrangements.
  7. Internship duration: 3 months.
