Job Description

The HR cum Admin Executive is responsible for supporting both Human Resources and Administrative functions within the organization. This role requires handling HR-related tasks such as recruitment, employee relations, and payroll management, alongside managing administrative duties like office management, vendor coordination, and facility management.

Human Resource Responsibilities 人力资源职责 :
1.Recruitment & Onboarding 招聘与入职 :

  • Assist in the recruitment process by posting job ads, screening resumes, conducting interviews, and coordinating the hiring process. 协助招聘流程,包括发布招聘广告、筛选简历、安排面试及协调招聘过程。 
  • Facilitate the onboarding process for new hires, ensuring proper documentation, orientation, and integration into the company culture. 促进新员工入职流程,确保相关文件齐全,并帮助新员工顺利融入公司文化。 

2.Employee Records Management 员工档案管理 :

  • Maintain accurate employee records in HRIS (Human Resource Information System). 在HRIS(人力资源信息系统)中维护准确的员工记录。 
  • Manage personnel files, ensuring all documents are updated and stored in compliance with company policies and legal requirements. 管理员工档案,确保所有文件均按照公司政策和法律要求进行更新和存储。 

3.Payroll and Benefits Administration 薪资与福利管理 :

  • Assist in payroll processing and ensure timely payments to employees. 协助薪资计算和发放,确保员工按时收到薪资。 
  • Manage employee benefits programs (health insurance, leave, etc.), ensuring compliance with policies and regulations. 管理员工福利项目(如健康保险、休假等),确保符合相关政策和法规。 

4.Employee Relations & Engagement 员工关系与参与 :

  • Serve as the point of contact for employee queries and concerns. 作为员工咨询和问题反馈的联络点。 
  • Support employee engagement activities, including organizing team-building events, meetings, and recognition programs. 支持员工参与活动,包括组织团队建设活动、会议及员工表彰计划。 

5.Compliance & Documentation 合规性与文件管理 :

  • Ensure HR policies are followed in accordance with labor laws and company regulations. 确保人力资源政策符合劳动法及公司规定。 
  • Keep track of statutory compliance such as leave, working hours, and other legal requirements. 追踪法定合规事项,如休假、工作时间及其他法律要求。 

Administrative Responsibilities 行政职责 :
1.Office Management 办公室管理 :

  • Oversee the daily functioning of the office, including office supplies, equipment, and facilities. 监督办公室日常运营,包括办公用品、设备和设施的管理。 
  • Ensure a clean, organized, and safe working environment for all employees. 确保工作环境整洁、有序且安全。 

2.Vendor Management 供应商管理 :

  • Liaise with vendors, suppliers, and service providers for office needs (e.g., stationery, equipment, cleaning services, etc.). 与供应商、服务提供商(如文具、设备、清洁服务等)进行协调。 
  • Negotiate and manage contracts with external vendors for office services. 负责与外部供应商协商并管理合同,确保办公服务的高效运作。 

3.Document Control & Reporting 文件管理与报告 :

  • Prepare and maintain various administrative reports and presentations for management review. 准备并维护各类行政报告及管理层所需的文件。 
  • Handle documentation related to employee records, office supplies, and other administrative tasks. 处理与员工档案、办公用品及其他行政事务相关的文档管理 。

4.Event Planning & Coordination 活动策划与协调 :

  • Assist in planning and organizing company events, meetings, conferences, and employee gatherings. 协助策划和组织公司活动、会议、培训、员工聚会等。 

5.Health & Safety Compliance 健康与安全合规 :

  • Ensure office space complies with health and safety regulations. 确保办公室符合健康与安全法规要求。 
  • Coordinate with external agencies for workplace inspections and certifications. 与外部机构协调,安排工作场所检查和相关认证。 

Job Requirements

  • Bachelor's degree in Human Resources, Business Administration, or a related field 人力资源、工商管理或相关领域的本科学位 
  • Proven experience in Food and Beverage as an HR or Admin Executive or in a similar role, with at least 3 years of experience or more 在食品和饮料行业担任人力资源或行政执行专员或类似职位的经验,至少3年或以上 
  • Strong understanding of HR functions and administrative processes. 对人力资源职能和行政流程有深刻理解 
  • Excellent communication, interpersonal, and organizational skills. 优秀的沟通能力、人际交往能力和组织能力 
  • Ability to multitask and prioritize tasks effectively. 具备同时处理多项任务并有效安排优先级的能力 
  • Strong knowledge of labour laws and regulations. 熟悉劳动法及相关法规 
  • Proficient in MS Office (Word, Excel, PowerPoint) and HR software. 精通MS Office(Word、Excel、PowerPoint)及人力资源管理软件 
  • High attention to detail and confidentiality. 高度关注细节并具备良好的保密意识 
  • Strong problem-solving skills and the ability to work under pressure. 较强的问题解决能力,并能在压力下高效工作
