Job Description

The Human Resource Executive is responsible for Talent Acquisition, Employee Relations, and HR Administration. This role requires strong organisational skills, attention to detail, and the ability to maintain a positive employee experience while ensuring compliance with HR policies. 

Key Responsibilities:

1. Talent Acquisition & Onboarding 

● Manage end-to-end recruitment, including job postings, sourcing, screening, interviewing, and selection. 

● Collaborate with department heads to understand hiring needs and ensure alignment with business objectives. 

● Facilitate a structured onboarding process, including orientation programs, to integrate new hires smoothly into the company. 

● Ensure all new employees complete necessary documentation, receive welcome kits, and are introduced to company policies and culture. 

2. Workforce Planning & Employer Branding for Hiring 

● Assist in forecasting hiring needs based on company growth and departmental workforce planning. 

● Plan and execute employer branding initiatives to attract quality candidates, in collaboration with the Marketing team. 

● Organize recruitment events, including career fairs and partnerships with universities. 

● Monitor hiring metrics and provide reports on recruitment effectiveness. 

3. Employee Relations & Workplace Harmony 

● Act as the first point of contact for employee concerns, grievances, and workplace disputes. 

● Assist in conflict resolution by facilitating discussions between employees and management. 

● Organize company-wide events, such as annual dinners, festive celebrations, and wellness programs. 

● Coordinate employee recognition programs to boost morale and foster a culture of appreciation. 

4. Staff Discipline & Attendance Management 

● Oversee attendance records, track tardiness and absenteeism, and enforce corrective measures. 

● Address workplace misconduct by investigating incidents and coordinating disciplinary actions as per company policy. 

● Educate employees on workplace conduct, disciplinary procedures, and code of ethics. 

● Maintain documentation related to warnings, disciplinary actions, and progressive discipline. 

5. General HR Administration 

● Prepare HR-related documents, including offer letters, employment contracts, promotion/demotion letters, and policy memos. 

● Manage and update employee records to ensure accuracy and compliance. 

● Support payroll processing by verifying attendance, leave records, and other employee-related matters. 

● Assist with the coordination of employee benefits and leave administration. 

6. Office & HR Operations Support 

● Coordinate logistics for HR-related events such as training sessions, meetings, and employee activities. 

● Maintain an organized filing system for HR documentation, ensuring confidentiality and accessibility. 

● Support procurement of office supplies and HR materials as needed. 

● Assist in office safety and compliance matters, collaborating with relevant departments. 

● Develop and maintain HR policies to ensure fairness and compliance with labor laws.


Job Requirements

  • Bachelor’s Degree in Human Resource Management, Business Administration, or related field.
  • Minimum 1- 3 years of relevant HR experience (experience in Talent Acquisition and HR Operations preferred). 
  • Strong knowledge of Malaysian Employment Act and local labour regulations. 
  • Hands-on experience in recruitment, onboarding, and employee documentation.
  • Good understanding of HR administration processes including leave management, attendance, and record keeping.
  • Strong interpersonal and communication skills, with the ability to handle employee relations matters professionally and confidentially.
  • Highly organised, detail-oriented, and able to manage multiple tasks simultaneously. 
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) and HR Management Systems.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Positive attitude with a strong sense of integrity and professionalism.
