About the Role

We are looking for a proactive and organised Marketing & Office Coordinator to support our day-to-day office operations and other time in marketing activities if needed.

This role is ideal for someone who enjoys keeping things organised, coordinating multiple tasks, following up with people, and ensuring projects run smoothly. Your role is to coordinate, manage timelines, and keep everything on track.

Key Responsibilities

Administrative & Office Management

  • Maintain company documents, agreements, and records.
  • Coordinate office maintenance, repairs, and supplier appointments.
  • Manage courier arrangements and office supplies.
  • Liaise with building management and service providers.
  • Support staff onboarding and administrative setup.

Finance & Payment Coordination

  • Prepare ad hoc invoices and submit supporting documents.
  • Coordinate client portal submissions.
  • Process payment requests and maintain payment trackers.
  • Follow up on payment status and supplier documentation.
  • Coordinate with outsourced finance and payroll providers.

HR & Recruitment Support

  • Coordinate interview scheduling and candidate communication.
  • Collect documents for employment contracts and onboarding.
  • Assist with staff administrative matters.

Job Requirements

Requirements

  • Minimum 2 years working experience in similar capacity
  • Good organizational and coordination skills.
  • Able to manage multiple tasks and deadlines.
  • Comfortable using Google Workspace (Docs, Sheets, Drive).
  • Good written and verbal communication skills in English.
  • Detail-oriented and responsible.
  • Experience in administration, coordination, marketing support, or office management is an advantage.

Nice to Have

  • Experience working in an agency, marketing, events, or SME environment.
  • Familiarity with invoicing systems such as Xero.
