Job Description

Job Purpose
The Finance Executive will assist the Administration Secretary in overseeing the financial and accounting functions of the Mission. This position is accountable for processing payments, monitoring the budget, generating monthly reports, and ensuring accurate financial record-keeping in line with Mission and HQ standards.

Key Responsibilities

Accounts & Finance
- Support the Administration Secretary in managing the Mission's financial records and accounts.
- Prepare payment vouchers and ensure payments are processed accurately and without delay.
- Regularly update and maintain the vote control register.
- Deposit collected revenues and maintain appropriate documentation and records.
- Cash cheques as necessary.
- Process payment of allowances and salaries for LRS.
- Submit monthly financial reports to HQ and update all accounting records accordingly.
- Track and follow up on funds received from HQ for the Mission's monthly expenses.
- Oversee the Mission's expenditures and create virements for relevant budget lines when required.
- Prepare monthly statements to recover telephone bills for HBS.
- Assist in drafting budget estimates for upcoming financial years and closing year-end accounts.

Administrative & Other Duties
- Validate overtime records for chauffeurs and office attendants and prepare corresponding payment vouchers.
- Aid in the installation of newly arrived HBS and prepare related documentation for deposits.
- Help in ordering and tracking inventories of the Mission's liquor stock and gifts.
- Assist in the preparation of periodic reports required by HQ, including Monthly Performance Reports, condemnation certificates, and other related documentation.
- Help gather quotes for the supply of goods and services and review the associated documentation.
- Carry out any additional tasks assigned by CG and other HBS.


Job Requirements

  • Possession of a Diploma or Bachelor’s Degree in Accounting, Finance, Business Administration, or a related discipline.
  • At least 2–3 years of applicable experience in:
  • Finance or accounting administration.
  • Bookkeeping or accounting assistance. 
  • Skilled in Microsoft Excel and Word.
