Executive Assistant
Our client is registered with the Ministry of Health Malaysia and is the only compounding pharmacy in Malaysia that is a member of the Professional Compounding Chemist of Australia (PCCA). They specialise in custom made medications with the aim of fulfilling the unmet medical needs of patients who do not respond well to standardised products.
Location: Kuala Lumpur/ Subang
Job Responsibilities :
- Filing and retrieving corporate records, documents, and reports.
- Assist in preparing financial statements, reports, memos, and other documents.
- Assists the MD with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
- Coordinate all logistics arrangements for MD’s and company’s guests
- Accurately recording minutes from meetings
- Communicates with the general staff on the MD’s behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with the management team and staff members
- Communicates on behalf of the MD on matters related to event initiatives as directed
- Assist Marketing & Communications team with constructing and sending out newsletter to doctors as well as circulars to employees.
- Manage customer complaints if any and provide amicable solutions.
- Organizing company trips and events based on budget given.
- Provide general administrative support as and when required.
- Provide assistance as needed to front desk operations to include but is not limited to, answering phones, arranging deliveries, lunchtime relief, and greeting customers/guests
