Job Description

 

We are looking for a committed and meticulous Operation Executive (Spare Parts) to manage daily operations related to spare parts, oversee inventory management, and provide customer support. The ideal candidate will ensure the availability of spare parts, maintain precise inventory records, and ensure prompt order fulfillment to enhance business operations and ensure customer satisfaction.

Key Responsibilities

  • Oversee daily activities concerning the ordering, receipt, and distribution of spare parts.
  • Address customer inquiries, prepare quotations, manage order processing, and conduct follow-up actions.
  • Collaborate with suppliers, warehouse staff, and logistics partners to guarantee timely delivery of spare parts.
  • Track inventory levels and maintain optimal stock to avoid shortages or excess inventory.
  • Create purchase orders and communicate with suppliers about pricing, delivery times, and schedules.
  • Handle and preserve documentation such as delivery orders, invoices, and inventory logs.
  • Carry out regular stock inventory checks and ensure inventory accuracy.
  • Investigate and resolve discrepancies, damaged goods, or delivery problems.
  • Coordinate with sales and service teams to ensure the availability of spare parts and enhance customer satisfaction.
  • Generate operational reports and maintain organized filing systems.
  • Adhere to company policies and ensure compliance with quality standards.
  • Perform any additional tasks assigned by management as required.


Job Requirements

Requirements

  • Diploma or Degree in Business Administration, Logistics, Supply Chain Management, Automotive, Engineering, or related disciplines. 
  • Minimum 1–2 years of working experience in spare parts operations, inventory control, logistics, automotive, or related fields. 
  • Fresh graduates with strong willingness to learn are encouraged to apply. 
  • Knowledge of inventory management and documentation processes. 
  • Familiarity with AutoCount, SQL, ERP, or inventory systems will be an added advantage. 
  • Proficient in Microsoft Office applications, especially Excel and Word. 
  • Good communication, organizational, and problem-solving skills. 
  • Able to work independently and in a fast-paced environment. 
  • Responsible, detail-oriented, and committed to meeting deadlines. 
  • Possess own transport and willing to travel when required.
