Job Summary
We are looking for a proactive and customer-oriented Operations & Aftersales Service Executive to facilitate vehicle delivery processes, oversee aftersales operations, and provide exceptional customer service throughout the ownership experience.
The ideal candidate will collaborate closely with customers, suppliers, workshops, and internal teams to ensure efficient operations, prompt service delivery, and optimal customer satisfaction.
Key Responsibilities
Operations Coordination
- Manage the vehicle registration, inspection, documentation, and delivery process.
- Ensure that all vehicle-related documents are complete and accurately updated.
- Track vehicle readiness and delivery timelines to ensure prompt handover to customers.
- Collaborate with internal departments to maintain a smooth operational flow.
Aftersales Service Management
- Address customer inquiries related to vehicle servicing, maintenance, warranty, and aftersales assistance.
- Organize service appointments and monitor the completion of services.
- Keep track of service schedules and maintenance logs.
- Promptly and professionally respond to customer concerns and complaints.
Supplier & Workshop Coordination
- Communicate with suppliers, workshops, service centers, and technical teams about repairs, servicing, and warranty issues.
- Oversee repair progress to ensure that service quality standards are upheld.
- Coordinate parts procurement and check on parts availability as needed.
- Assist in troubleshooting technical and operational challenges.
Warranty & Claims Administration
- Process and track warranty claims.
- Gather and maintain warranty-related documents and records.
- Follow up with suppliers and service providers on warranty approvals and claim progress.
- Ensure the proper documentation for audit and compliance requirements.
Customer Relationship Management
- Foster and sustain positive relationships with customers.
- Conduct follow-ups after delivery and service to guarantee customer satisfaction.
- Collect customer feedback and suggest service enhancements.
- Support initiatives aimed at customer retention and improving service quality.
Reporting & Documentation
- Maintain precise records of service history, customer interactions, warranty claims, and operational activities.
- Prepare operational and aftersales reports for managerial review.
- Ensure meticulous filing and documentation of all related records.
Ad Hoc Duties
- Assist management with special projects and operational initiatives as needed.
- Carry out additional tasks assigned by management occasionally.
