Job Description

  Administration Scope:

  •  Provide comprehensive executive and secretarial support to the Executive Management team.
  •  Assist Executive Management in reading, monitoring, and responding to various correspondences.
  •  Arrange travel arrangements, including flights, accommodations, ground transport, and visa applications. Occasionally, accompany the Executive Management during travels to take notes or provide general assistance during presentations.
  •  Undertake special assignments and ad hoc functions as assigned by the Executive Management.
  •  Act as a point of contact for internal staff, clients, and external parties. 
  •  Assist Executive Management in preparing project tenders and contracts.
  •  Conduct background research and present findings as required.
  •  Prepare papers and presentation materials for meetings, while also acting points and writing minutes.

Project Scope:

  •  Collaborate with teams to identify opportunities for improvements in project delivery.
  •  Support project mobilization by ensuring the teams have the necessary skills, technology, and efficient processes for successful project execution.
  •  Develop new and efficient delivery workflows.
  •  Work with programmers to create tools for automating design processes.
  •  Lead RAMS accelerator workshops and identify opportunities for enhancing project delivery.
  •  Act as a facilitator in project delivery improvement workshops.
  •  Engage staff in change programs and promote behavioral changes internally and externally.

Job Requirements

  • At least a bachelor’s degree in business, Secretarial Studies, or a related field is required.
  •  Prior experience in providing support to senior-level management will be considered an advantage.
  •  Proficiency in English is essential, and the ability to communicate in Mandarin will be an additional asset.
  •  Strong command of MS Office applications, particularly MS Word, MS Excel, and MS PowerPoint.
  •  Exceptional multitasking skills with keen attention to detail.
  •  Must maintain a professional and presentable appearance to uphold the company's image. 
  •  Demonstrated willingness to learn and the ability to grasp new concepts quickly.
  •  Discretion and trustworthiness, as this role will involve handling confidential information. 
  •  Good understanding of business processes and familiarity with best practices.
  •  Proven track record of developing data-driven proposals with a customer-centric approach.
  •  Self-motivated and enthusiastic team player with excellent written and verbal communication skills, inspiring project teams to embrace innovative approaches.
  •  An intrapreneurial mindset that challenges conventional methods and identifies new opportunities for improvement. 
  •  Comfortable with information management and digital technologies. 
  •  Strong written and verbal communication skills. 
  •  Meticulous attention to detail. 
  •  Capable of handling challenges and meeting tight deadlines.
  •  Willing to work in Cyberjaya.
