About the Role
The Marketing Specialist plays a critical execution and operations role within the marketing function. The role ensures that marketing initiatives move from ideation to execution efficiently, compliantly, and on time by managing workflows, budgets, systems, and cross-functional coordination.
In practice, the Marketing Specialist is the operational backbone of the marketing team—translating strategy into structured actions and keeping execution running smoothly across Veeam’s mar tech tools like JIRA, MBM, etc.
Additionally, you will be responsible for supporting our team of Marketing Managers with event logistics, marketing asset coordination, merchandise purchase, database control, budget management, PMDF coordination with Partners, and onsite support of events.
Role Responsibilities
Project Coordination
- Support the end-to-end coordination of marketing projects including campaigns, events, product launches, and cross-department initiatives.
- Manage project timelines, deliverables, and dependencies to ensure smooth execution and on-time delivery.
- Work closely with the Marketing Operations Team-Leader to maintain accurate project documentation and progress tracking.
Process & Workflow Management
- Maintain structured workflows within Jira for all ongoing marketing activities.
- Creating, updating, and managing JIRA tickets for all marketing requests (campaigns, events, creative, digital, ops support)
- Ensuring tasks are clearly scoped, prioritized, and assigned with correct dependencies
- Tracking progress, timelines, blockers, and approvals through to completion
- Maintaining clean workflows aligned with marketing operations processes and SLAs
- Ensure all projects follow the defined approval, QA, and handover process.
- Support the creation and upkeep of operational templates, checklists, and Confluence documentation, regional marketing budget, purchase orders and invoice submissions. This includes PMDF coordination and obtaining proof for Partner claims.
- Uploading of event leads with accuracy and timeliness.
- Facilitating online webinars, including pre- and post-event logistics.
Marketing Budget Management Ownership
- Supporting annual planning inputs, quarterly reforecasting, and budget transfers in MBM
- Ensuring correct budget tagging for campaigns, events, and activities
- Coordinating with Marketing Ops on approvals, transfers, and incremental fund requests
- Monitoring planned vs. committed spend to avoid overruns
- Acting as a liaison between marketing managers and Marketing Operations for budget-related questions
Communication & Reporting
- Serve as a central communications point between internal teams and external partners.
- Provide clear and timely updates on project status, risks, and next steps.
- Prepare summary reports and project documentation for management and internal reviews.
Risk & Issue Management
- Identify potential bottlenecks or challenges in project execution and proactively propose solutions.
- Support the Marketing Managers in ensuring all project risks are documented and mitigated effectively.
