Job Description

Responsibilities

  • Ensure all work is carried out in accordance with company policies, procedures, standards and work instructions.
  • Enter client’s required documentation list (SDRL) into Documentation System.
  • Compile a document master list for each job file (SDS / A01), whilst adhering to document required dates, and final dossier sections / sub-sections.
  • Log all documentation received from vendors, ensuring that each document shows the correct revision and document identification number.
  • Issue documentation received from vendors, either directly to client’s DCC or to Score engineer / order owner for review, ensuring that each document shows the correct revision and document identification number.
  • Log all documentation received back from client’s DCC.
  • Issue documentation received from client’s DCC, either directly back to vendor or to Score engineer / order owner for further review.
  • Expedite any overdue documentation from vendors (as required) by e-mail and telephone.

  • Compile final job / project dossier, after all individual documents have been accepted / approved by client.
  • Submit final job / project dossier to client’s DCC for final approval. (Hard copy & Electronic 
  • versions).
  • Archive all approved documentation. 
  • Ability to work effectively as an individual and as part of a team.
  • To access and work in MS Office, Outlook, MS Team & other software application.
  • Any other reasonable duties as required to meet the needs of the business.
  •  Vendor Registration for End user and EPC, compiling all relevant documents.
  •  Know where to find approved documentation for stock orders (Pro-Arc / Docix).
  •  Review documents for accuracy, completeness, and compliance with company standards.
  •  Ensure that documents are properly numbered, titled, formatted, and approved.
  • Track the status of documents through their lifecycle, from creation to archiving.
  • Work closely with project teams, engineering, and other departments to ensure document management needs are met.
  • Any other reasonable duties as required to meet the needs of the business.


Job Requirements

 Qualification & Experience

  •  Proficient in the use of Microsoft Excel and other Microsoft packages in essential.
  •  Previous experience in a similar role advantageous but not essential.
  •  Previous experience of ProArc and Qpulse systems advantageous but not essential.
