Job Overview

Admin Executive manages comprehensive office administration, new joiner onboarding & offboarding, fixed asset tracking, pantry replenishment, employee welfare, vendor coordination (cleaners, hotels), and purchase request processing. Ensures smooth operations, compliance, and high employee satisfaction.

Key Responsibilities

  1. Employee Lifecycle Management
  • New Joiner Onboarding: Full cycle coordination (workstation setup, laptop, inductions)
  • Offboarding: Asset recovery (laptops, access cards), final document collection, email deactivation

2.Fixed Asset Management

  • Maintain fixed asset register (tagging, tracking)
  • Quarterly physical asset verification and reconciliation
  • Procure, depreciate, dispose assets per company policy
  • Update asset movement log during onboarding/offboarding

3 .Pantry Management

  • Pantry replenishment: inventory, order coffee/tea/snacks
  • Oversee daily office operations (supplies, maintenance)
  • Manage cleaner services (scheduling, quality checks, payments)
  • Coordinate facility maintenance (aircon, repairs, pest control)

4.Purchase Request Processing

  • Review, approve, track purchase requisitions (pantry, office supplies)
  • Source 3 quotes, verify budgets, vendor follow-up

5.Employee Welfare & Travel

  • Manage employee welfare: Pantry events, gifts, team celebrations
  • Handle hotel bookings, travel arrangements for internal/external needs
  • Support engagement activities and events

6.General Administration

  • Document archiving (7-year compliance)
  • Ad-hoc HR/Finance support

Job Requirements

  • Diploma Business Admin/Office Management
  • 1-2 years admin experience
  • MS Excel (inventory, asset tracking, purchase logs)
  • Strong organizational skills, vendor coordination
