Job Description

PURPOSE: Legal Services Litigation Strategy & Coordination provides legal advice, support and related services to Shell businesses, in a challenging global business environment. By identifying legal risks and considering alternative structures and strategies to accurately reflect commercial decisions, Legal Services further our business objectives and protect shareholder interests.

This position will be located in KL and will report to the Legal Sourcing Officer. This position will have responsibility for working with Associate General Counsels, other Managing Counsels, lawyers, paralegals and other business professsionals on the Global Litigation team. This position will interface with other members of the Global Legal organization, Group Records Management, Global IT, as well as Shell business personnel, and external contractors and vendors. The successful candidate will be an integral part of the Global Litigation, Strategy & Coordination organization.

Responsibilities include:
Matter Support: 
  • Conflicts
  • New matter weekly communication tracking support, create a ticket and schedule with the sourcing team to meet with the attorneys, and validate or schedule bringing the matter on an AFA;
  • Support with the RFP process;
  • Support the sourcing and conflicts process assuring the department and all vendors are in compliance 
 
Appropriate Fee Arrangement Request Support: 
  • Create Ticket’s for all requests using the team connect / AFA module;
  • Audits, Scheduling after action audits (see team connect);
  • Filing LDMS: Supports the sourcing team on filing engagement letters, RFP’s, and relevant responses / materials to the AFA module and LDMS;
  • Communications: Support the sourcing team on sending template status of RFP’s to firms, updates, meeting requests,  new matters, etc;
  • Reporting: Supports the sourcing team with tracking value adds; 
  • QBR Support: Support with the Quarterly Business Review process. Filing to LDMS / team connect / AFA module;
  • Budget Audits, Support the pricing team on the yearly budget process – e.g. supporting the GC’s with reports and overviews / comparisons on matters within team connect and projections;
  • Track and Map internal and External relationships on the AFA module (e.g. firm lawyer clerked for a judge, or Shell attorney previously worked at X firm) that support the initiatives and opportunities identified. 
 
Contract Management (KM): 
  • Support initiative to compile, organize, and store information within the legal tools e.g. assist with mapping “key performance metrics” from the legal system to other Shell systems. 
 
Team Connect Support: 
  • After Action Review Scheduling, monthly updates and scheduling the sourcing team on matter after action audits/reviews with the designated matter attorneys.  Filing any findings to the legal systems and adding to a report for the AFA newsletter.  
  • Review new matters created in team connect and provide a summary/schedule with the sourcing team to validate they are an AFA.
  • Support the sourcing team with rolling out team connect department wide.
  • TeamConnect Matter Management: Creating new Matters
  • LORP Lite: Manage new matters and updates for Global Legal
  • Legal Hold / Preservation Notices
  • Conflict Waiver Requests 
 
Invoicing / Legal Spend Management: 
  • Supporting the sourcing team with E-billing and invoicing support / auditing. E.g. Support the reverse engineering of invoices and the reconciliation process, invoice payments according to AFA’s;
  • Vendors, support the team with consolidating and tracking the vendor list and spend via the legal systems – creates agility and in line with Supplier management approach. 
 
Communications - Panel Support 
  • Support the sourcing team on panel outreach and communications;
  • Support the sourcing team on the panel grading system (scorecard) for law firms including metrics like: utilization, spend, process, etc.

Job Requirements

  • Understanding / Demonstration of project management principles. 
  • Awareness of IT functioning, equipment and systems. 
  • Experience with use of personal computer applications required. 
  • Understanding of IT system and applications content. 
  • Preference will be given to candidates who in addition to the above requirements have an understanding of information management principles and/or an understanding of how IT is used in Shell. 
  • Experience and knowledge of the leading enterprise search solutions, including Microsoft SharePoint (FAST) and MicroSoft Office 365 
  • Experience in business analysis and strategy development, specifically in the Legal IT area
  • Proven experience in managing multiple requests for support while insuring stakeholders are satisfied with completeness, accuracy, and timeliness
