Job Description

ShopBack Malaysia is seeking a Workplace Experience Intern to manage onboarding and offboarding logistics, employee engagement events, office facilities and operations, and workplace hardware asset management for the Kuala Lumpur office. This is an on-site internship (minimum 6 months) focused on ensuring a smooth employee lifecycle and functional office environment.

Responsibilities:

Employee lifecycle

• Welcoming new joiners on Day 1 — office tour, swag distribution, and workstation setup.
• Managing exit logistics, including hardware recovery, access card collection, and prompt IT handoffs.

Engagement & culture

• Plan and host company events end to end — townhalls, festive events, team socials, and wellness sessions.
• Run the engagement calendar alongside HRBP: coordinate logistics, track budgets, and gather post-event feedback.
• Manage internal communications on Slack — event announcements, campaign content, and regular team updates.

Facilities & workplace operations

• Keep the office stocked — manage pantry inventory and daily essentials.
• Coordinate with vendors, suppliers, maintenance crews, and contractors for day-to-day office upkeep.
• Act as the go-to contact for facility issues; resolve or escalate as needed.
• Support on-site health, safety, and emergency protocols.
• Handle administrative tasks such as parking season passes, building access card issuance, purchase order raising, and permit applications.

Workplace hardware & asset operations

• Coordinate hardware issuance for new joiners and collection at offboarding.
• Maintain the hardware asset register — serial numbers, equipment assignments, and return statuses.
• Act as the local hardware liaison: meeting room AV setups, light troubleshooting, and IT escalations.

Job Requirements

Qualifications:

• Currently pursuing a degree in Human Resources, Psychology, Communications, Business Administration, or a related field.
• Available for a minimum 6-month internship and able to work onsite in Kuala Lumpur.
• Curiosity about AI tools and a habit of finding smarter ways to work.
• Organised and able to track hardware, budgets, and event timelines.
• Clear communicator in writing and in person; comfortable adapting communication style to the audience.
• Comfortable with data — able to compile and surface insights from engagement and operations metrics.
• Able to juggle competing priorities and stay calm under pressure.
