Job brief

We are looking for a competent secretary to support CEO & COO in our company. 

The selected secretary must be quick professionals with great time-management and multitasking abilities. It is with their diligence and competence in their work that executives can focus on their managerial responsibilities without worrying for other clerical and administrative tasks.

The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.


Job Requirements

 Basic Responsibilities

  • Act as the point of contact between the high-ranking officials and internal/external clients 
  • Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
  • Attend meetings and keep minutes
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Make travel arrangements for executives
  • Handle confidential documents ensuring they remain secure
  • Manage and maintain electronic and or paper clients’ database, documents and records, ensuring information are filed, organized, easily accessible and secure including setting up and managing the entire company filling systems
  • Conduct research and prepare presentations, reports or briefs as assigned 
  • Implementing and maintaining procedures and or administrative systems
  • Liaising with staff, suppliers and clients
  • Collating and filing CEO/COOs’ expenses 
  • Miscellaneous tasks to support the CEO/COO.
  • Response to any ad-hoc related duties as assigned

  2. Contract Renewal Process and Documentation.
  3. Company Secretary Coordination and Document Management & Filing.
  4. Business Development for Municipal Councils Parking Concession.
  5. Office Management.
  6. Car Park License application or renewal 
  7. Quality Management Representative – SOP development, documentation and QM Audit. (Advantage added)
