As a Project Administrator, you will support the project team by managing documentation, schedules, quotations, procurement, and communication between clients, suppliers, and site teams. Your work will help ensure every project runs smoothly, on time, and to a high standard.

Job Requirements

Responsibilities

Project Administration & Coordination

• Assist in organising, updating, and maintaining all project documents and records. 
• Prepare and update project schedules, progress tracking, and status reports. 
• Coordinate communication between project managers, site teams, suppliers, and clients. 
• Arrange meetings, prepare meeting minutes, and follow up on action items. 

Documentation & Procurement

• Prepare quotations, purchase orders, procurement documents, and project-related paperwork. 
• Maintain proper document control and ensure all project files are organised and up to date. 
• Assist in tender submissions and project documentation. 
• Coordinate material purchases, supplier deliveries, and project logistics. 

Project Support

• Assist the Project Manager in monitoring project progress and reporting updates. 
• Perform basic editing of drawings and documents using Adobe Illustrator, Photoshop, or AutoCAD. 
• Support administrative tasks assigned by the Project Manager. 

Requirements

Qualifications

• Diploma or Degree in Business Administration, Project Management, Engineering, Design, or a related field is preferred. 
• Fresh graduates are encouraged to apply. Experience in project administration, construction, interior fit-out, exhibition, or related industries will be an advantage. 

Technical Skills

• Good command of Mandarin, English, and Bahasa Malaysia (spoken and written). 
• Proficient in Microsoft Office or Google Workspace. 
• Basic knowledge of Adobe Illustrator, Photoshop, or AutoCAD. 
• Familiar with AI tools such as ChatGPT or Gemini. 
• Able to read basic technical or construction drawings.

• Strong organisational and time management skills. 
• Able to manage multiple projects simultaneously. 
• Detail-oriented, responsible, and willing to learn. 
• Good communication and teamwork skills. 
• Able to work independently in a fast-paced environment.
