Job Description

Event assistant implement and follow plans detailed by event managers and planners. They specialise in a part of the planning either the coordination of the catering, transportation, or the facilities.


Job Requirements

 Assist with Event Planning:

  • Help develop event concepts and themes based on client needs or internal requirements.
  • Research and suggest potential event venues, vendors, and suppliers (caterers, florists, entertainment).
  • Assist in creating event timelines and checklists to ensure deadlines are met.

Vendor and Supplier Coordination:

  • Contact and liaise with vendors to confirm bookings and details, ensuring timely delivery of services and products.
  • Help manage vendor contracts and communications.

Logistical Support:

  • Assist with venue setup and breakdown, ensuring everything is arranged according to plan.
  • Help manage event registration, attendee lists, and check-in processes.
  • Assist in organizing transportation or accommodations for event staff and participants.

Event Promotion:

  • Support in the creation of marketing materials (digital or printed) for event promotion.
  • Help with social media management by posting updates and engaging with event participants online.
  • Assist with email campaigns, newsletters, and other promotional activities.

On-Site Support:

  • Provide day-of-event support, ensuring smooth execution of the event schedule.
  • Assist with guest services, including registration, handling inquiries, and providing information.
  • Monitor event progress, troubleshoot problems, and assist in resolving any issues.

Administrative Tasks

  • Maintain and organize event documentation, contracts, and receipts.
  • Handle correspondence with clients, vendors, and team members as required.
  • Assist in preparing post-event reports, including feedback and suggestions for future events.

Networking and Learning

  • Participate in team meetings to learn about event management processes and industry trends.
  • Build relationships with vendors, clients, and event staff.

Qualifications:

Educational Requirements:

  • Currently enrolled in a degree program related to Event Management, Hospitality, Marketing, or a similar field.
  • A passion for event planning and the hospitality industry.

Skills and Experience:

  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace.
  • Basic knowledge of social media platforms and digital marketing.
  • Previous event or customer service experience (even volunteer work) is a plus.
