Job Summary
Accounts & Admin Executive managing basic bookkeeping, invoices, payroll, procurement, service contracts, and financial compliance, while working with external accountants for detailed accounting.
Key Responsibilities
Finance & Accounting
- Handle full set of accounts (Accounts Payable, Accounts Receivable, General Ledger, and Inventory) on day-to-day functions at a basic level.
- Verify invoices and other accounting documents.
- Monitor company expenses and perform expense forecasting.
- Assist in general accounting activities, including month-end closing and reporting.
- Liaise with banks and coordinate with other departments or vendors.
- Monitor company cash flow and support budgeting.
- Assist in preparation of financial statements, tax returns, and compliance requirements for government and regulatory authorities.
- Work with external accountants and auditors for annual submissions.
Invoicing & Collections
- Manage the full invoice cycle: creation, due dates, renewals, and reminders.
- Issue invoices based on client contracts or requirements.
- Follow up on late payments and liaise with clients for timely collections.
Procurement, Service Contracts & Vendor Management
- Oversee procurement processes, including quotations, purchase approvals, and vendor payments.
- Manage and maintain service contracts with clients, vendors, and service providers—ensure timely renewals, compliance with terms, and accurate documentation.
- Negotiate with vendors and service providers for cost-effectiveness.
Payroll & Staff Claims
- Process staff expense claims and reimbursements, ensuring policy compliance.
- Assist in monthly payroll preparation and statutory contributions (EPF, SOCSO, EIS).
Administrative & Intern Management
- Provide administrative support to the manager on daily operations.
- Maintain and renew company licenses, insurance policies, and tenancy agreements.
- Manage and safeguard financial, contract, and administrative documents with strict confidentiality.
- Recruit, interview, and manage interns, including onboarding, task assignments, and performance tracking.
- Liaise with university lecturers or career offices regarding internship arrangements and requirements.
Requirements
- Minimum 1 year of experience in finance, accounting, or related fields.
- Proficient in Xero or similar accounting software.
- Strong understanding of basic accounting principles and financial reporting.
- Detail-oriented, well-organized, and able to meet deadlines independently.
- High integrity and commitment to confidentiality.
Preferred Skills
- Experience in digital marketing or service-based industries is a plus.
- Good communication skills for client and vendor payment follow-ups.
- Familiarity with cloud-based tools (Google Workspace, Microsoft 365) is an advantage.
Salary & Benefits
- RM3,000 – RM4,200 per month (commensurate with experience).

Working Hours & Location
