Basic job purpose: This position is responsible for the overall operations of reception in providing ultimate service for the hotel guests. The Front Office Supervisor should provide the fullest support and cooperation to the front office department and to lead the Front Office Team in achieving the desired results in accordance to our vision and mission statement, objectives and Standard Operating Procedure (SOP) of the Hotel. Front Office Supervisor is responsible for the performance of the daily arrivals for check-in and departures for check-out (cashiering) of all the Hotel guests. Attend to guest requests, answering calls are handled systematically and professionally. Greet all guests and customers in a very professional manner and to drive the guest engagement of the team. Roles & responsibilities: 1. To lead the Front Office Team and maintain a good working relationship with your own associates and all other departments. 2. Ensure to read the communications logbook and acted going on and off duty. The logbook should be updated accordingly. 3. Plan and preparing of front office duty roster. 4. Review all daily arrivals and departure, check on special requests and assign the guest room accordingly. 5. Ensure all registration forms are checked and correctly input by the Front Office Assistant (FOA) into the PMS for guest history and for future reference and file accordingly. 6. Well knowledge in all mode of payment, prepayment or credit facilities in accordance to the hotel reception policy. 7. To work closely with reservation and sales department on incoming group events. 8. To inform Guest Relation Officer or Manager to welcoming VIP guests. 9. Maintain awareness of happening events in the hotel, shopping mall, in the city and other sister properties. 10. Ensure guest changed is minimized and handled in proper manner with valid reason, and all relevant departments are being communicated accordingly. 11. Ensure all front office filing are visible for reference and updated. 12. Ensure group and tours are prepared, rooms are pre-assigned in advance notice, to inform manager prepayment made or credit term before arrivals. 13. To adhere to the Standard Operating Procedure (SOP) while on duty at all times. 14. Perform other duties as deemed necessary by immediate manager. 15. The main responsibilities of all employees of Hotel are to avoid self-inflicted injury to themselves and any other persons around who might be affected by the employee’s action at work. 16. All employees are to extend their fullest support and cooperation with the employer or any other appointed persons in the discharge of any duties or requirements imposed by the employer or any other appointed persons responsible and authorized to implement the necessary safety and health regulations deemed mandatory under the Occupational, Safety and Health Act 1994. 17. To report unsafe working condition or environment to their superior or directly to the Safety Executive. 18. To lead and drive the team in achieving the guest engagement standard set by the Hotel. 19. To lead and drive the team in achieving the guest comments (all guest comments platform and channel) goal set by the Hotel. 20. Job delegations accordingly. 21. All employees are to extend their fullest support and cooperation with the employer or any other appointed persons in the discharge of any duties or requirements imposed by the employer or any other appointed persons responsible and authorized to implement the necessary safety and health regulations deemed mandatory under the Occupational, Safety and Health Act 1994. 22. Every employee working within the respective environment such as engineering, kitchen, housekeeping is responsible to use personal protective equipment (PPE) and must comply with all the work instructions and safety rules accordingly. 23. To report unsafe working condition or environment to their superior or directly to the OSHA officer.

Requirements

Skills & experience: Qualifications • Minimum in SPM required. Experience • Minimum 3 years of Front Office experience required. Skills • Must be fit, work independently efficiently and as team while maintaining a courteous disposition towards guest at all times. • Guest service oriented, good interpersonal skill and positive attitude. • Superior communication skill in English oral, Bahasa Malaysia, foreign and other language is an advantage. • Knowledge and familiar in operating of OPERA system for front office and reservation • Able and willing to work on shift, night duty, weekend and public holiday • Efficiency and accuracy in performing duties, sharing feedback and suggestions. • Skills in leading, developing delegating the Front Office team. • Excellent in hotel product knowledge. • Pleasant, courteous and caring attitude. • Appearance and grooming. • Good internal and external relationship. • Punctual and honesty. • Training and Development of the Front Office team. • Guest engagement and guest comments position (internal ranking and external ranking on all guest comments platform and channel).
