Job Description: Junior Admin Executive
- Data Entry & Reporting
- Accurately key in data for all live accounts, including 4 TikTok accounts and 2 Shopee accounts, ensuring data integrity and confidentiality.
- Prepare, analyze, and submit daily, weekly, and monthly reports related to live account performance.
- Track and monitor live host schedules, live gaps, and revenue performance to ensure achievement of business targets.
- Develop and maintain reporting templates, dashboards, and performance trackers to support management decision-making.
- Provide insights and recommendations based on data trends.
2. Vending Machine Operations
- Monitor, track, and analyze vending machine sales and usage trends.
- Generate and present performance reports with recommendations for improvements.
- Oversee restocking schedules, inventory levels, and vendor coordination to ensure optimal product availability.
- Handle escalated customer support inquiries and coordinate resolutions effectively.
- Manage pricing updates and ensure proper display and marketing on vending machines.
- Liaise with suppliers for stock planning, cost negotiations, and promotional initiatives.
3. Content Coordination
- Collaborate with the content creation team to strategize and align content with vending machine branding and marketing initiatives.
- Coordinate schedules, approvals, and logistics for content shooting at vending machine locations.
- Ensure compliance with brand guidelines, timelines, and budget allocations for content projects.
- Assist in monitoring content effectiveness and provide feedback for improvement.
4. Administrative & Office Support
- Manage day-to-day administrative functions including documentation, filing, and correspondence.
- Maintain accurate records, contracts, and SOPs for vending machine and live account operations.
- Support HR and management with coordination of meetings, reports, and internal communications.
- Assist in budget tracking, petty cash management, and vendor invoices related to vending machine, live accounts, and content operations.
5. Coordination & Stakeholder Management
- Act as the liaison between internal teams, vendors, and external stakeholders.
- Ensure smooth communication flow and timely delivery of projects.
- Participate in meetings, prepare minutes, and follow up on action items.
- Contribute to process improvement initiatives and provide administrative recommendations to management.
6. Compliance & Quality Control
- Ensure adherence to company policies, procedures, and compliance standards.
- Support quality checks on vending machine operations, live account performance, and content execution.
- Assist in audits and compliance reporting as required.
