Executive - Admissions, TIS Puchong
Available to start in January 2025
The Admissions Executive is responsible to handle all aspects from enquiries to admissions of student to contribute to a higher conversion rate to meet Company’s budget enrolment. She will be able to give advice, guidance and counselling to prospective parents for enrollment of their children in the school more independently. She is responsible for the smooth running of the daily operations and administration of the admission office.
KEY RESPONSIBILITIES
- Manage incoming enquiries and respond on a timely manner via walk-in, call-in, email, post through website, Facebook or any online channels with minimum supervision and assign to the respective Admissions staff
- Oversee all applications are complete with relevant documents as per the Admission Procedure and ensure missing information/documents are in place. Application form must be signed by the parent(s) upon submission.
- Ensure students’ application documents and data are exported and updated to the Student Management system after successful enrolment.
- Prepare student’s documents and coordinate student with parents and Year Leaders for Entrance Assessment within 2 working days after receiving application forms. Follow-up to get approval from the respective Head of School/Principal. Prepare Offer letters to inform parents within 2 working days after assessment/interview as per Admission Procedure.
- Support in Student Visa and Guardian Visas application process including preparation of documents and liaising with the Ministry of Education (MOE) to get support letters for the said purposes.
- Support Line Manager to prepare weekly reports on student enrolments
- Analyze the trend movement of enquiries and applications from time to time and propose and discuss plans and strategies to meet the targets.
- Contact parents to encourage registration after offer is made which forms a crucial task in conversion from Offer to Enrolment stage.
- Work with internal stakeholders to arrange and coordinate Orientation programme for new students before the commencement of a new term.
- Coordinate Open Week trial class with parents and teachers to ensure all potential students have a chance to attend a trial class to increase conversion.
- Assist to coordinate and raise evaluation for new agents appointment and maintain a proper agent data record.
- Work with school’s student agent recruitment to support them in providing relevant information to promote the school.
- Coordinate activities and events related to student recruitment to ensure preparation of checklist and liaison with the various stakeholders are in place.
- Participate in all major student recruitment activities which include, but may not be limited to, education fair representations, institutional visits, Open Days and special events organised to attract potential parents.
Other related matters to Admissions
- Ensure updated record of discount entitlements and fee deposits collected are available when is required.
- Support in managing internal and external students scholarships.
- Handle all correspondence pertaining to admissions and students withdrawal.
- Ensure class lists for Head of School are available when required.
- Compile and assist in student services:
- Prepare student’s and parents’ eCards as well as to provide support services to maintain and operate the Smart Card system.
- Provide information on transportation services.
- Undertake any other projects that may be assigned from time to time by the Admissions Manager and the Principal.
JOB REQUIREMENTS
- Minimum Degree in relevant discipline or equivalent or
- Minimum 2 years of relevant working experience, preferably in the education industry.
- Possess a good command of English and Bahasa Malaysia. Ability to speak Mandarin is an added advantage.
- Experience in handling foreign student visa matters will be given priority.
- Experience working in a school environment is an added advantage.

- Knowledge of and skills in using computer software e.g. Microsoft software applications.
- Knowledge of customer service principles, techniques and standards.
- Ability to analyze and interpret the needs of students and offer appropriate solutions.

- Strong interpersonal and communication skills with ability to communicate comfortably with students and parents in a courteous and professional manner.
- Possess good planning, organizing, coordinating, presentation and time management skills.
- Creative, resourceful, customer focused, self-motivated and results oriented.
