Job Summary:

We are seeking a detail-oriented and proactive Sales Admin Executive to provide essential administrative and documentation support to our Sales Manager and sales team. This role is critical in ensuring smooth sales operations, accurate documentation, and timely communication between internal departments and external clients.

Key Responsibilities:

  • Assist the Sales Manager with all sales-related administrative and documentation tasks.
  • Prepare, process, and track quotations, sales orders, invoices, and delivery documents.
  • Maintain and update customer records, sales databases, and filing systems.
  • Coordinate with internal departments (e.g., logistics, finance, customer service) to ensure timely order fulfillment and accurate billing.
  • Follow up with clients on outstanding documents, payments, and approvals.
  • Generate regular sales reports and summaries for management review.
  • Handle inquiries from customers regarding products, pricing, order status, etc.
  • Ensure all sales documentation complies with company policies and regulatory requirements.
  • Support in the preparation of presentations, proposals, and tender documents when needed.
  • Assist with organizing meetings, schedules, and travel arrangements for the sales team.


Job Requirements

Requirements:

  • Diploma or Bachelor's degree in Business Administration, Marketing, or related field.
  • Proven experience in a sales administration or similar support role (minimum 2–3 years preferred).
  • Strong attention to detail with excellent organizational and time management skills.
  • Proficient in Microsoft Office (especially Excel, Word, and PowerPoint).
  • Good communication skills, both verbal and written.
  • Ability to multitask, work under pressure, and meet tight deadlines.
  • A team player with a positive attitude and willingness to learn.
