Job Description

The Traveller Malaysia is a boutique destination management company (DMC) established in 2008, specialising in inbound travel, experiential journeys, and MICE (Meetings, Incentives, Conferences & Events) across Malaysia.

Role Overview
We are seeking a reliable and organised Assistant Accounting & Administration Manager to support the day-to-day accounting operations of the company and act as a key coordination point between Operations and Finance.

This role focuses on execution, follow-through, and team coordination, while senior financial governance, taxation, treasury, and statutory compliance remain under the Senior Finance Controller.

An Accounts Payable (AP) Executive will report into this role.

Key Responsibilities
1. Accounts Receivable (AR) – Operations & Follow-Up

  • Prepare and issue customer invoices based on approved operational documents
  • Track incoming payments and update AR records accurately
  • Follow up on outstanding invoices and payment commitments
  • Prepare weekly AR ageing reports (30/60/90 days)
  • Highlight long-outstanding or high-risk items to Senior Finance Controller
  • Coordinate with Operations to resolve billing discrepancies or missing documents

Credit policies, write-offs, and final decisions on high-risk debtors remain with the Senior Finance Controller.

  1. Accounts Payable (AP) – Supervision & Execution
  • Supervise and guide the Accounts Payable Executive
  • Review supplier invoices for completeness and accuracy
  • Ensure proper documentation and filing for AP
  • Prepare payment schedules for approval
  • Coordinate timely payments in line with company policies
  1. Month-End & Finance Operations Support
  • Assist in month-end closing activities
  • Prepare basic reconciliations and schedules
  • Support preparation of internal management reports
  • Maintain finance checklists and trackers
  • Ensure records are organised, accurate, and audit-ready

Final review, statutory reporting, and audit sign-off remain with the Senior Finance Controller.

  1. Administration & Cross-Department Coordination
  • Act as the main coordination point between Finance and Operations
  • Track finance-related deadlines and follow-ups
  • Maintain orderly digital and physical filing systems
  • Support audit documentation preparation
  • Assist in documenting and improving finance SOPs
  1. Team & Process Discipline
  • Ensure adherence to finance SOPs and timelines
  • Coach the AP Executive on accuracy and discipline
  • Escalate issues early and clearly
  • Communicate professionally and calmly with internal stakeholders
  • Support a structured, efficient finance environment

Required Qualifications & Experience

  • Diploma or Degree in Accounting, Finance, or related field
  • min 6 years of experience in accounting or finance operations
  • Hands-on experience in AR, AP, invoicing, and coordination
  • Prior experience supervising or guiding junior staff is an advantage
  • Proficient in Excel and SQL accounting systems
  • Experience in service-based or travel industry is a plus

Job Requirements

  • Diploma or Bachelor’s Degree in Accounting, Finance, Business Administration or related field 
  • Minimum 5-7 years of hands-on experience in accounting and administrative functions 
  • Practical experience handling Accounts Payable & Receivable, vendor payments, bank reconciliation, journal entries, and month-end closing  
  • Familiar with Malaysia statutory compliance including EPF, SOCSO, EIS, PCB, withholding tax and SST (where applicable) 
  • Experience supporting audit, tax filing, and management reporting 
  • Exposure to LHDN e-Invoicing (MyInvois) is a strong advantage 
  • Proficient in accounting systems such as SQL
  • Good working knowledge of Microsoft Excel 
  • Able to supervise junior accounting/admin staff and strong interdepartmental connection to manage daily operational workflows 
  • Experience in SME / service industry is preferred 
  • Good command of English; Mandarin is an added advantage 
  • Detail-oriented, organised, reliable, and able to work independently with minimal supervision
