Job Description

We are looking for a highly organized and proactive Business Event (MICE) Project Executive to join our events team. This role is responsible for the end-to-end planning, coordination, and delivery of business events such as conferences, trade shows, seminars, product launches, and corporate meetings. You'll work closely with clients, vendors, and internal teams to ensure events are executed flawlessly, on time, and within budget. 

Job Requirements

Key Responsibilities:

•  Event Planning & Execution: Assist Project Managers with the planning, coordination, and execution of business events, ensuring they align with client goals and meet deliverable standards.  
•  Client Management: Manage client relationships by handling inquiries, providing updates, and addressing concerns with professionalism and precision.  
•  Client Servicing Support: Support the Project Manager in client servicing by ensuring client requirements and requests are continually updated, and that deliverables meet or exceed client expectations.  
•  Internal Coordination: Collaborate with internal teams (Operation and Creative Teams) and external vendors to ensure all event components are delivered on schedule and to specification.  
•  Documentation & Reporting: Prepare and manage essential event documents, including project timelines, budgets, contracts, and schedules. Monitor progress and provide regular updates to the Project Manager and clients.  
•  On-Site Support: Offer on-site assistance during events, ensuring all logistical aspects run smoothly and resolving any issues that arise.  
•  Post-Event Analysis: Assist in evaluating event outcomes by collecting feedback and preparing detailed reports on successes and areas for improvement.

Required Qualifications: 

•  Minimum SPM or equivalent education.  
•  A diploma or degree in Event Management, Marketing, Business, or a related field is advantageous.

Experience Level: 

•  At least 2 years of experience in project coordination or event management, with a preference for experience in the MICE sector.  
•  Proven ability to handle multiple projects simultaneously, prioritize tasks, and meet deadlines effectively.

Skills and Competencies: 

•  Attention to Detail: Strong focus on detail to ensure high-quality project execution.  
•  Technical Proficiency: Skilled in MS Excel, MS PowerPoint, and Keynote (Apple) for planning, presentations, and reporting.  
•  Organizational Skills: Excellent organizational and multitasking abilities.  
•  Communication: Exceptional written and verbal communication skills in English; Mandarin language skills are a plus due to client interactions.  
•  Design Skills: Knowledge of Adobe Illustrator and Adobe Photoshop is an advantage.  
•  Additional Tools: Familiarity with SketchUp, CVENT, and CANVA is beneficial.  
•  Problem Solving: Effective problem-solving skills with adaptability to changing situations.

Working Hours and Environment: 

•  Monday to Friday, 9:30 am to 6:30 pm.  
•  Occasional travel required for events, including cross-state and international trips.
