Job Description

1.0 Sales Support and Administration:

  • Assist the sales team with day-to-day administrative tasks, including preparing quotations, proposals, and sales documents.
  • Manage sales orders, ensuring accurate processing and timely delivery.
  • Track and update customer information.
  • Maintain and update sales reports, sales pipeline, and client databases.
  • Coordinate with other departments to ensure smooth order fulfillment and delivery.

2.0 Customer Relationship Management:

  • Respond to customer inquiries and requests in a timely and professional manner.
  • Assist in managing customer accounts, ensuring all relevant information is up-to-date.
  • Follow up with customers post-sale to ensure satisfaction and address any concerns or issues.
  • Maintain positive relationships with both existing and potential clients to support sales activities and customer retention.

3.0 Sales Process and Documentation:

  • Prepare and maintain accurate sales records, including sales reports, contract documents, and client correspondence.
  • Ensure all sales documentation complies with company policies and regulatory requirements.

4.0 Order Management and Coordination:

  • Support the sales team in managing and processing orders from customers.
  • Track order status and ensure that all customer orders are fulfilled accurately and on time.
  • Handle order-related issues, such as discrepancies or delays, and ensure resolution is provided promptly.

5.0 Sales Team Support:

  • Provide administrative support for sales meetings, including scheduling, preparing agendas, and taking minutes.
  • Coordinate travel and meeting arrangements for sales team members when required.
  • Assist in organizing and coordinating sales events, promotions, and campaigns.

6.0 Other Duties:

  • Perform any other duties as assigned by the Sales Manager or other senior managers to support the business needs.

Job Requirements

  • Diploma and above
  • Experienced in Sales is advantage
  • Mandatory to be proficient in English and Mandarin (verbal & writing)
  • Good in Microsoft Excel spreadsheets
  • Strong attention to detail
