Job Description

The Clinic Admin plays a vital role in ensuring the smooth day-to-day operations of the clinic. This role involves managing patient flow, maintaining accurate records, supporting medical staff, and delivering excellent customer service.

Key Responsibilities:

đź—‚ Front Desk & Patient Management

  • Greet and register patients upon arrival
  • Schedule and manage appointments
  • Answer phone calls, WhatsApp messages, and respond to patient inquiries
  • Prepare and maintain patient records
  • Handle patient check-in and check-out processes

đź’¬ Customer Service

  • Provide information about clinic services and procedures
  • Handle patient feedback or complaints professionally
  • Ensure a comfortable and welcoming experience for all visitors

đź’» Administrative Tasks

  • Maintain and update clinic database and filing systems
  • Ensure cleanliness and organization of the reception and waiting areas
  • Monitor office supplies and assist with ordering
  • Prepare daily/weekly reports when needed

đź’‰ Clinic Operations Support

  • Coordinate with nurses and doctors to ensure smooth patient flow
  • Assist in inventory management of medical and office supplies
  • Help with billing, invoicing, and payment processing
  • Manage claims (e.g., insurance, FOMEMA, SOCSO, etc.) if applicable

Job Requirements

Skills & Competencies:

  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Able to use computers, appointment systems, and common office software (e.g. Microsoft Office, Google Workspace)
  • Basic knowledge of clinic management software or willingness to learn
  • Comfortable handling WhatsApp messages, phone calls, and emails professionally
  • Good problem-solving attitude and patience when dealing with patients

  • Friendly, professional, and empathetic demeanor
  • Reliable and punctual
  • High level of integrity and respect for patient confidentiality
