Unseen Matters is a story-first sustainable gifting studio. We work with leading corporations — including Google, Clarins, Petronas, Mercedes-Benz, and Siemens — to create gifts and branded merchandise that are intentional, concept-driven, and ESG-aligned. We're a lean, fast-moving team. We work on real briefs, with real clients, on tight timelines. Quality and ownership are non-negotiable here.

The Role

You'll be the backbone of how we execute — making sure every order moves from brief confirmed to client's hands, correctly and on time. This is a hands-on role. You'll coordinate suppliers, track timelines, inspect quality, and solve problems as they come.

What You'll Own:

• Manage end-to-end order fulfillment — from supplier PO to delivery confirmation
• Source and procure within client budget while protecting project margin
• Negotiate unit pricing and terms with suppliers to achieve target cost
• Build and maintain strong relationships with key suppliers — including regular visits and check-ins — to ensure priority service, better terms, and long-term reliability
• Coordinate with logistics partners to manage delivery timelines, costs, and fulfillment accuracy
• Conduct quality checks against client briefs before goods are dispatched
• Track all active projects and flag risks before they become problems
• Maintain and update SOPs across fulfillment, QC, and logistics processes
• Keep supplier directory, product pricing, and costing records current and accurate
• Communicate proactively with the team when timelines shift or issues arise

Job Requirements

• 1–3 years of experience in operations, logistics, procurement, or a related field
• Comfortable dealing with suppliers in Mandarin — China-facing sourcing is part of the role
• Strong organisational skills with the ability to manage multiple projects simultaneously
• Proactive communicator — you give updates without being chased and flag risks before they become problems
• Detail-oriented — you notice what's off before it becomes a delivery failure
• Comfortable maintaining documentation, SOPs, and records with accuracy and consistency
• Negotiation ability — confident enough to push for better pricing and terms with suppliers
• Able to build rapport in person — supplier visits and relationship-building are part of this role
