Job Description

Job Summary:
This role is responsible for the full spectrum of operations activities. The ideal candidate must be able to support the team members to execute operations related tasks/projects to achieve the company objectives. The ideal candidate also needs to have good communication and reporting skills inside the company and have good networking with vendors.
Job Responsibilities:
 
  1. Operations Management: Collaborate with the Business Operations Manager to plan, implement, and monitor programs aimed at improving operational efficiency. Ensure strict adherence to Standard Operating Procedures (SOPs) to maintain quality and consistency.
  2. Research and Cost Analysis: Conduct research and sourcing activities to identify cost-effective solutions for operational and project needs. Perform cost analysis to ensure operations remain within budget without compromising quality.
  3. Cross Department Coordination: Work closely with various departments to ensure the smooth execution of tasks and projects. Track project progress, ensure timelines are met, and provide regular updates to management.
  4. Administrative Duties: Handle day-to-day administrative tasks, including preparing reports, maintaining records, and managing correspondence. Maintain accurate and organized documentation to support operational efficiency.
  5. Inventory and Logistics Management: Oversee warehouse inventory to ensure stock/asset accuracy and availability. Plan and coordinate logistics arrangements for timely delivery and setup of operations or events.
  6. Vendor and Stakeholder Management: Build and maintain strong relationships with vendors to support operational needs. Communicate requirements clearly to ensure timely and quality delivery of goods and services.
  7. Project and Event Support: Assist in planning, coordinating, and executing projects and events. Participate in UAT testing to ensure system functionality meets business requirements. Provide on-ground support during events to ensure smooth execution.
  8. Budget Tracking and Compliance: Monitor and track expenses to ensure they align with financial goals and compliance standards.
  9. Reporting and Accountability: Prepare detailed reports on task progress, project outcomes, and operational challenges. Highlight achievements and areas for improvement in periodic updates to Business Operations Manager.
  10. Ad-Hoc Assignments: Take on additional responsibilities as required by management and adapt to changing priorities.

Job Requirements

 
Qualifications
  1. Bachelor’s degree or higher in Business Management, Operations Management, Event Management, or equivalent.
  2. Minimum 2 years of relevant experience, preferably in an operations role.
  3. Strong knowledge of MS Office, including Word, Excel, and PowerPoint.
  4. Proficiency in verbal and written Mandarin, English, and Bahasa Malaysia.
  5. Excellent presentation and communication skills.
  6. Experience in handling events or projects.
  7. Willing to travel internationally when required.
