Job Description

We are seeking a dependable Executive Assistant Administrator who will perform administrative duties to ensure the Waimin team receives the necessary support for optimal efficiency. This role involves collaborating closely with the Managing Director and assisting with various responsibilities, including managing his calendar, coordinating with company accountants, sourcing products from China and overseeing their development, managing product development with overseas engineers and production teams, and collaborating with both local and international sales and marketing teams. Additionally, the role includes providing assistance with bookkeeping, customer service, and administrative support for a secondary overseas company, as needed.

Candidates must hold a valid passport and be willing to travel internationally.

Fluency in both Mandarin and English is essential, and knowledge of additional languages is a plus.

The ideal candidate will excel in prioritizing tasks and working independently with minimal supervision. They should be self-driven and trustworthy, ensuring the seamless operation of our office and contributing to the sustainable growth initiatives of the company.


Job Requirements

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Manage agendas/travel arrangements/appointments etc. for upper management
  • Manage external contractors and overseas product developments as directed by the MD
  • Partner with the MD to process job applications, administer new hire pre-employment and orientation activities
  • Manage phone calls and correspondence (e-mail, letters, packages etc.) and handle daily accounting tasks such as data entry, invoicing, payment tracking
  • Submit timely reports and prepare presentations/proposals as assigned
  • Perform other ad hoc tasks as assigned by the superior or management

Must have at least 5 years plus experience in related fields and educated to a Graduate Degree level in Business Studies, Administration Management, or the equivalent proven work experience. Excellent knowledge of MS Office, Xero and e-commerce platforms are required, as well as a current drivers license and valid passport.
