As a Business Administrative Intern, you'll be the operational backbone supporting our brand's day-to-day functions — from documentation and coordination to customer intelligence and collaboration planning. You'll work closely with the founder and cross-functional teams across sales, marketing, and operations, getting exposure to areas that most graduates only read about in textbooks.
What you'll actually be doing:
① Documentation & Business Administration Prepare, organize, and manage internal business documents including agreements, consignment forms, vendor contracts, briefing decks, and meeting minutes. Keep our filing systems clean, up-to-date, and accessible. Support the team in drafting proposals, SOPs, and operational checklists.
② Customer Data Analysis & Coordination Compile and analyse customer data across platforms to identify patterns, purchasing behaviours, and segment trends. Help coordinate customer-facing communication workflows — including follow-up sequences, feedback collection, and retention touchpoints — working closely with our marketing team.
③ Collaboration & Partnership Coordination (Online) Plan and coordinate online collaboration deals end-to-end — from initial outreach tracking to briefing sheets, deliverable timelines, and post-collaboration reporting. You'll help manage our pipeline of KOL partnerships, gifted collaborations, and brand deals, ensuring nothing falls through the cracks.
④ Market & Competitor Research Conduct regular research on competitor brands, market trends, pricing strategies, and new retail opportunities in Malaysia. Compile insights into clean, actionable summaries that help the leadership team make smarter decisions faster.
⑤ Event & Booth Coordination Support Assist in the planning and logistics of brand events, pop-ups, and retail booths — including vendor coordination, material checklists, booth setup plans, and post-event recaps. A great way to see the offline side of a brand come to life.
⑥ Social Media & Content Admin Support Help coordinate the content calendar, track post performance, and compile weekly or monthly social media reports across Instagram, TikTok, and other platforms. You won't just be uploading posts — you'll be helping the team understand what's working and why.
⑦ Internal Reporting & Dashboard Updates Assist in compiling weekly performance reports covering sales, consignment, and marketing data. Help maintain internal trackers and dashboards so the team always has a clear picture of where the business stands.
⑧ Onboarding & Partner Communication Support the onboarding process for new consignment retail partners and collaboration partners — including sending welcome kits, coordinating first shipments, and ensuring all communication is timely and professional.
⑨ Special Projects Xocks moves fast. Depending on the business priorities that month, you may be assigned to a special project — whether it's launching a new product line, planning a KOL campaign, or building out a new operational system. You'll always have something meaningful to contribute.
