Job Description

WECOFA is a fast-growing digital marketing agency specializing in education mearketing, personal branding, and performance advertising. We work closely with entrepreneurs, speakers, trainers, and businesses to built impactful brands and scalable marketing systems.

We are looking for a highly organized, proactive, and depandable Executive Assistant cum HR Administration Executive (PA) to support the Director in daily operations while overseeing HR and administrative functions to ensure smooth business operations.

Key Responsibilities

  • Assist ED in managing and reviewing all types of files, workflows and project deadlines.
  • Prepare reports, presentations, meeting agendas, and minutes.
  • Monitor deadlines, follow up on pending matters, and ensure timely completion of tasks.
  • Coordinate communication between the Director, employees, clients, and external stakeholders.
  • Handle confidential information with professionalism and discretion.
  • Assist with ad-hoc assignments and personal errands when required.
  • Manage employee attendance, leave records, and personnel files.
  • Prepare and maintain employment related documents.
  • Coordinate onboarding and offboarding processes.
  • Assist in recruitment activities, including job postings, candidate screening, interview scheduling, and applicant communication.
  • Compile payroll related information such as attendance, leave, claims, and allowances for processing.
  • Maintain and update HR policies, SOPs, and employee records.
  • Ensure compliance with company policies and applicable Malaysian labour regulations.
  • Maintain office supplies and coordinate purchases.
  • Organize company events, team activities, and training sessions.
  • Manage filling systems and ensure proper documentation control.
  • Support internal process improvements and administrative initiatives.

Job Requirements

  • Diploma or Bachelor's Degree in Business, Marketing, Communications, Human Resources, or related fields.
  • Relevant experience is preferred. Fresh graduates with strong organizational skills are encouraged to apply.
  • Excellent communication and interpersonal skills in English and Chinese
  • Candidates MUST be proficient in speaking, reading, and writing Chinese is mandatory for this position.
  • Knowledge of Malaysian employment practices, EPF, SOCSO, EIS, and payroll processes is an advantage.
  • Familiar with Google Workspace, Microsoft Office, and productivity tools.
  • Basic knowledge of social media platforms such as LinkedIn, Facebook, Instagram, XHS, and TikTok is an advantage.
  • Experience in agency, marketing, startup, project coordination, executive assistant, or HR administration roles will be an added advantage.
  • Possess a positive attitude, willingness to learn, and strong sense of ownership.
  • Comfortable working in a fast-paced and dynamic environment.
  • Detail-oriented, resourceful, and capable of handling mutiple priorities independently.
