Job Description

About the role:

The Associate, People & Culture will play a vital role in the People & Culture team, primarily responsible for the seamless execution of the employee lifecycle—from contractual onboarding to final exit. This role requires a meticulous professional who can manage high-volume HR documentation, sales-driven performance reporting, and accurate monthly payroll processing across Malaysia and Global markets.

Responsibilities: 

End-to-End Employee Lifecycle & Documentation 

  • Onboarding & Contracts: Facilitate the full onboarding process, including the preparation of offer letters, employment contracts, and new-hire documentation. 
  • Lifecycle Management: Manage administrative aspects of the employee journey, including confirmations, contract renewals, transfers, and promotions. 
  • Offboarding: Coordinate the exit process, ensuring resignation acknowledgments, clearance forms, and final settlement documents are processed timely. 
  • Record Keeping: Maintain and audit all Personnel Files (P-files) and HRIS databases to ensure 100% accuracy and compliance with data protection (PDPA) standards. 

Regional Payroll & Statutory Administration 

  • Payroll Processing: Manage and process accurate monthly payroll, ensuring all allowances, overtime, and deductions are calculated correctly. 
  • Global Market Support: Coordinate payroll activities, ensuring compliance with local tax and labor laws in each respective country. 

Reporting & Workforce Analytics 

  • Performance Reporting: Prepare and maintain reports for individual sales performance and calculate sales incentives/bonuses accurately. 
  • Operational Tracking: Generate monthly attendance reports and monitor employee clock-in/out data. 
  • Management Metrics: Compile total headcount reports and workforce analytics (turnover, absenteeism, etc.) for management review. 

Policy, Compliance & Audit 

  • Governance: Assist in implementation, coordination and execution of HR SOPs to align with current legislation.
  • Audit Support: Act as a key coordinator for internal and external audits, ensuring all HR documentation and payroll records are "audit-ready." 
  • Advisory: Provide support to employees regarding policy interpretation, benefits, and payroll-related inquiries. 

Job Requirements

 Requirements: 

  • Education: Degree in Human Resources, Business Administration, or a related field. 
  • Experience:  At least 1–3 years of experience in HR Operations or Payroll; experience handling Sales Incentives and Commission structures is highly preferred. 
  • Regional Knowledge: Basic understanding on Pivot Tables, and complex formulas for incentive calculations). 
  • Language Skills:  Excellent command of English (written and spoken). Proficiency in Mandarin is a significant advantage. 
  • Attributes: Exceptional attention to detail, highly organized, and able to maintain strict confidentiality.
