Job Description

We are looking for an Operations Executive to oversee daily operational activities, drive process improvements, and ensure smooth coordination across teams. This role will work closely with IT, internal stakeholders, and third-party vendors to enhance operational workflows, manage CRM improvements, resolve system-related issues, and support business needs.

Responsibilities: 

Daily Operations Management: 

• Manage daily operational tasks including preparing and maintaining operational procedures, process flows, and training materials to ensure consistency and compliance across operations.  

Compliance and Risk Management: 

• Ensure that all operations comply with relevant regulations, standards, and company policies. 

Collaboration Across Departments: 

• Act as a liaison between operations, IT, and other departments to ensure alignment and seamless communication. 
• Work closely with IT teams to identify, propose, and implement enhancements to the existing CRM system and operational workflows. 
• Communicate operational needs and provide detailed feedback for system upgrades or customizations. 
• Assist in testing and deploying CRM updates or new features, ensuring minimal disruption to operations. 
• Coordinate with IT to troubleshoot and resolve technical issues in trading platforms or CRM systems. 

Work Team Training and Coordination: 

• Train team members on CRM system updates and new workflow processes. 

Vendor & Third-Party Management: 

• Oversee and manage relationships with third-party service providers, ensuring service levels and operational standards are met. 

Project Management: 

• Lead and manage special projects aimed at enhancing operational capabilities. 
• Set clear objectives and track project progress. 

Problem Solving: 

• Address and resolve operational challenges efficiently. 
• Develop contingency plans to address unexpected issues. 

Ad-hoc Support: 

• Provide operational support to special projects and other duties as assigned by senior management.

Job Requirements

•  Minimum 1 year of experience in an operations role (any industry).
• Fluent in English and Mandarin to effectively communicate with Mandarin-speaking clients (read and write).
• Diploma/Degree in Business, Finance, Economics, or related field.
• Basic understanding of account opening, KYC procedure knowledge a plus.
• Proficient in Microsoft Excel and general office software.
• Strong attention to detail and accuracy.
• Good communication and interpersonal skills for liaising with internal stakeholders.
• Ability to work under pressure and meet deadlines.
• Willingness to handle documentation, compliance, and regulatory filing tasks.
• Team player, able to multitask across operations functions.
