Job Description

About the Role: 

We are seeking a proactive Senior Administrative Executive to be the operational backbone of our dynamic team. This is a critical, dual-focused role where you won't just manage the office—you'll own the essential systems and workplace infrastructure that keep our team productive and connected. 

We are looking for someone with the capacity to grow; for the right candidate, this role offers the opportunity to expand into People and Culture support, making it an ideal path for someone looking to build a career in operations and Human Resources.

Responsibilities: 

Operational & Workplace Management 

  • Pioneering Seamless Operations: Act as the primary administrative authority, overseeing all daily functions to ensure the office runs with precision. 
  • Vendor Ecosystem Management: Own the relationship lifecycle for all operational vendors, including purchasing, service contracts, and maintenance. 
  • Culture & Support Champion: Coordinate logistical support for internal events, meetings, and travel, fostering a positive workplace culture. 
  • Integrated Support: Provide agile support across general administrative functions, including People & Culture related administrations and documentation. 

Asset & Inventory Management 

  • Asset Lifecycle Coordination: Take ownership of company assets for new joiners and leavers, including physical deployment, collection, and basic setup/resetting of laptops and peripherals. 
  • Inventory & Supplies Mastery: Proactively manage and audit office inventory (IT peripherals, stationery, and pantry supplies) to ensure the team is always well-stocked. 
  • Vendor Liaison: Serve as the primary contact for office and IT vendors to resolve hardware or facility issues quickly. 

Documentation & Knowledge Sharing 

  • Master of Records: Maintain meticulously accurate documentation for all assets, software licenses, and user access logs. 
  • Knowledge Base Builder: Develop and refine internal resources, such as IT setup guides and comprehensive onboarding checklists. 

Job Requirements

Requirements: 

  • Experience: Minimum of 2 years of success in a hands-on administrative or office management role. 
  • Technical Proficiency: Comfortable with basic hardware setup and navigating the M365 environment (Outlook, Teams, Excel). 
  • Core Skills: Strong attention to detail, proactive problem-solving, and the ability to manage multiple priorities. 
  • Education: Bachelor's degree in Business Administration, HR, or equivalent practical experience. 
  • Growth Mindset: A keen interest in learning People & Culture operations and a desire to take on more responsibility as the role evolves. 

Bonus Points: 

  • Language Skills: Ability to speak and write in Mandarin/Chinese is a significant plus (to liaise with specific vendors or stakeholders). 
  • Technical Knowledge: Familiarity with basic office connectivity (Wi-Fi, VPN) is an added advantage.
