Job Description

PURPOSE / OBJECTIVE (OF THIS POSITION):

The Regional Project Executive supports the planning, coordination, and administrative execution of international design & build projects. This role assists in ensuring project milestones, documentation, quality requirements, and site coordination are carried out smoothly across multiple countries. The position is vital in maintaining accuracy, consistency, and project tracking to support successful store openings and renovations.

JOB RESPONSIBILITIES: 

Part 1 –Primary roles of the job which are measurable and may be used as part of KPIs

1. Project Coordination & Support

  • Assist in managing timelines, deliverables, and project checklists.
  • Coordinate with designers, consultants, contractors, and suppliers on daily work matters.
  • Support site feasibility assessments and data collection.

2. Documentation & Reporting

  • Prepare project documentation including minutes, reports, progress trackers, and schedules.
  • Update project dashboards and maintain accurate records for all regional projects.
  • Prepare management submission document where required.

3. Design & Technical Support

  • Assist in reviewing drawings, material specifications, and layout accuracy.
  • Ensure onsite build comply with brand guidelines, local requirements & design. 
  • Coordinate the approval process for design revisions.

4. Construction & Site Support

  • Monitor site progress through site visits, photos, and contractor updates.
  • Track defect lists, follow up on closures, and support quality checks.
  • Assist in procurement coordination, delivery tracking, and onsite monitoring.

5. Stakeholder Communication

  • Serve as a communication bridge between internal teams and contractors.
  • Keep stakeholders informed on progress, issues, and changes.

6. Franchise Coordination & Support 

  • Coordinate with franchise partners on project requirements, brand compliance, timelines, and store opening readiness.
  • Assist in reviewing franchise submission (layouts, materials, contractor proposals) for alignment with brand & design standards.
  • Support franchisees through the design, approval, and build process, ensuring accurate communication of brand expectations.
  • Track franchise-related project issues and escalate to relevant stakeholders when necessary.

Part 2 – Secondary roles which supports the primary roles above

  • Support department filing, database updating, and process standardization.
  • Assist in research (materials, vendors, regulations) for regional projects.

Job Requirements

JOB COMPETENCIES / REQUIREMENTS:

Qualification

  • Bachelor’s degree in project management, construction management, or a related field.
  • Professional certification is an advantage.

Experience

  • 3–5 years of experience in project coordination, project management, or regional operations.
  • Proven experience managing multi-site or multi-country projects.
  • Experience working with cross-functional teams, regional stakeholders, and external partners.

Skills & Knowledge

  • Basic understanding of construction processes, layouts, and drawings.
  • Ability to read architectural & M&E drawings.
  • Strong organizational and multitasking skills.
  • Proficient in MS Office, project tracking tools, and basic design software (AutoCAD, Revit is a plus).
  • Strong communication and coordination skills.

  • Able to work in fast-paced, multi-country environments.

Additional requirements

  • Ability to travel regionally (20–50% or more).
