Job Description

As Finance Admin at Foundingbird, your role is to keep our financial operations running cleanly and accurately. Working directly with the CEO, you will be the backbone of our internal financial compliance — from day-to-day bookkeeping to collections and reporting. If you are someone who takes pride in tidy books, sharp attention to detail, and genuinely enjoys the nuts and bolts of finance in a fast-moving startup environment, this role is for you.

What you’ll be responsible for in this role:

  • Manage day-to-day bookkeeping including recording of transactions, reconciliations and maintaining accurate financial records.
  • Handle accounts receivable and collections — tracking outstanding invoices, following up with clients and ensuring timely payments.
  • Process accounts payable, including vendor invoices and expense claims, ensuring all payments are accurate and on time.
  • Prepare and maintain monthly financial reports and summaries for review by the leadership team.
  • Support month-end and year-end closing activities, including preparation of schedules and documentation for audits or tax filings.
  • Maintain organised financial records and documentation in line with internal compliance requirements.
  • Liaise with external accountants, auditors or tax agents as required.
  • Flag and escalate financial discrepancies or compliance issues promptly to the leadership team
  • Assist in reviewing and improving internal financial processes and controls over time.

Job Requirements

We’re looking for a person with the following qualities:

  • Holds a bookkeeping qualification (e.g. LCCI, AAT, CAT or equivalent) — this is a must.
  • 1–2 years of hands-on experience in bookkeeping or a finance admin role; fresh grads with a strong finance/accounting qualification and relevant internship experience are welcome to apply.
  • Familiar with accounting software such as Xero, QuickBooks Online (QBO), or similar — you should be comfortable navigating these tools on day one.
  • Detail-oriented and organised — you catch errors others miss and you keep things tidy without being asked.
  • Reliable and trustworthy — you handle sensitive financial information with discretion and professionalism.
  • Strong command of the English language. Proficiency in Bahasa Malaysia or Mandarin is a plus.
  • Presents themselves well and is comfortable communicating with internal stakeholders and external parties alike.
  • Degree? Relevant if it’s in accounting or finance, but what matters more is your qualification, your experience, and your willingness to learn and grow in this role.
  • Must be able to work from our office in Taman Desa, Kuala Lumpur — this is an in-office position.
