The Events Manager plays a key role in planning and executing impactful events that drive awareness, fundraising, community engagement, and volunteer mobilization. Key Responsibilities
Plan, coordinate, and manage all organizational events including fundraising dinners, volunteer drives, community outreach days, donor appreciation events, and awareness campaigns.
Develop detailed event proposals, timelines, and budgets.
Create event concepts that highlight and support key services: food aid, medical outreach, shelter home awareness, etc.
Handle logistics including venues, permits, vendors, catering, and AV setup.
2. Project & Budget Management
Create detailed event budgets and manage costs effectively to ensure maximum ROI.
Maintain an inventory of reusable event materials and supplies.
Source and manage third-party vendors (e.g. caterers, AV teams, equipment rentals) and negotiate favorable terms.
3. Cross-Functional Coordination
Work closely with the Strategic Partnerships Manager to align events with donor engagement strategies and partnership goals.
Coordinate with the National Supply Chain Manager to ensure in-kind support, logistics, and goods distribution are smoothly integrated into events.
Support programme leads with event-based initiatives (e.g. medical camp days, food distribution festivals, or clothing drives).
Ensure each event reflects and supports the values and impact of core programmes.
Provide event support to internal teams (e.g. launching a new mental health initiative, commemorating milestones at the shelter home).
Serve as the point-of-contact between programmes, operations, partnerships, and supply chain for all event-related needs.
4. Marketing & Promotion
Collaborate with the communications team to promote events via social media, press releases, newsletters, and printed materials.
Develop event branding, signage, and messaging aligned with the organization’s mission and tone.
Oversee storytelling components of events — curate booths, exhibitions, or videos that showcase impact.
Ensure brand consistency across all event-related collaterals and communications.
Coordinate media coverage before, during, and after major events, including interviews and press kits.
5. Volunteer & Stakeholder Engagement
Recruit, train, and coordinate volunteers for event support.
Build strong relationships with vendors, service providers, and sponsors.
Ensure positive and professional representation of the organization during public events.
Coordinate protocol for VIP guests, donors, media personnel, and beneficiaries (e.g. seating, meet and-greet, photo ops)
6. Monitoring & Reporting
Evaluate event success through feedback forms, attendance tracking, and impact reports.
Provide post-event analysis and recommendations for improvement.
7. On-Site Leadership & Execution
Serve as the lead point person on-site for all events, resolving issues as they arise.
Conduct pre-event briefings for staff and volunteers to ensure clarity of roles and expectations.
Manage the post-event teardown and ensure proper handling of supplies, waste, and follow-ups.
8. Monitoring, Reporting & Impact Measurement
Track participation numbers, engagement levels, funds raised, and social media reach for each event.
Create event reports including lessons learned, stakeholder feedback, and recommendations.
Maintain a historical event database with assets, results, and supplier contacts for future reference.
9. Innovation & Community Building
Explore digital/hybrid event formats to expand reach (e.g. online donation drives, livestreamed beneficiary stories).
Initiate community-led events that encourage beneficiary involvement and leadership.
Build long-term traditions and annual flagship events that become community staples.
10. Compliance & Risk Management
Ensure events comply with public health regulations, safety standards, and organisational safeguarding policies.
Develop contingency plans for bad weather, power failure, emergencies, etc.
Uphold the dignity and privacy of all event participants, especially vulnerable groups like shelter residents.
