Job Description

The Account Assistant plays a key supporting role in ensuring the accuracy and integrity of Kiwanis Down Syndrome Foundation-National Centre’s financial and records. This position is responsible for day-to-day accounting operations, including data entry, billing and collection of education fees, invoice and payment processing, donations, administration, statutory compliance, banking, and reconciliation tasks. The Account Assistant ensures that all financial transactions are recorded accurately and in a timely manner, in line with KDSF-NC’s internal policies and relevant statutory requirements.

Responsibilities:

  • Record daily transactions, prepare payment vouchers, journals, and ensure accounting records are up to date using the SQL system.
  • Assist in the preparation of financial reports for monthly Management Meetings.
  • Responsible for Accounts Payable / Receivable including process supplier invoices, staff claims, utility bills, donations and education fees. Issue receipts and follow up on collections and outstanding balances.
  • Perform monthly bank reconciliations, monitor petty cash, and assist with fixed deposit placement, renewals, and banking tasks.
  • Maintain and update the Fixed Assets Register, tag new assets, track movements, post depreciation entries, and support annual asset verification.
  • Support annual financial audits by maintaining organized records, preparing documentation, and ensuring compliance with internal and statutory requirements.
  • Provide support during fundraising events, donation tracking, and maintain files related to finance, insurance renewals, and licenses.

Job Requirements

Requirements:

  • Diploma or Degree in Accounting, Finance, Business Administration, or a related field.
  • 1–2 years of relevant experience in accounting and administrative support.
  • Experience handling a full sets of accounts is an added advantage.
  • Prior experience in non-profit organisations or the education sector is beneficial.
  • Solid understanding of financial record-keeping and reporting.
  • Proficiency in Microsoft Office suite, particularly Excel and Accounting software.
  • Familiar with SQL Accounting software is an advantage.
  • Strong written and verbal communication skills.
  • Able to work independently, manage multiple tasks, and meet deadlines effectively.
  • Detail-oriented, responsible, and highly organized.
  • Able to maintain confidentiality and handle sensitive information professionally.
  • Must possess own transportation with valid driving license.
