Job Description

Position Overview:

The Personal Assistant (PA) to the CEO will provide comprehensive administrative support, ensuring the CEO’s daily schedule, meetings, and tasks are efficiently managed. This role demands exceptional organizational skills, discretion, and keen attention to detail, along with the ability to handle sensitive information with the utmost confidentiality. Proficiency in English, Bahasa Melayu, and Mandarin, both written and spoken, is essential for effective communication and coordination.

Key Responsibilities:

  • Schedule Management:
    • Manage and prioritize the CEO’s calendar, ensuring it is up-to-date and organized.
    • Coordinate and schedule meetings, conferences, and travel plans, ensuring all logistics are handled efficiently.
    • Prepare materials for meetings, including agendas, reports, and presentations.
  • Communication:
    • Serve as the primary point of contact between the CEO and both internal and external stakeholders.
    • Screen, direct, and respond to calls and emails on behalf of the CEO when appropriate.
    • Handle confidential information and correspondence with professionalism and discretion.
  • Travel Coordination:
    • Arrange all aspects of business travel, including flights, accommodations, and ground transportation.
    • Prepare detailed travel itineraries, ensuring alignment with the CEO’s professional commitments.
  • Event and Meeting Coordination:
    • Organize internal and external meetings, conferences, and events, ensuring all logistics are in place.
    • Oversee meeting details, such as technology setup, agendas, and follow-up actions.
  • Administrative Support:
    • Prepare reports, presentations, and correspondence for the CEO as needed.
    • Manage office supplies, maintain an efficient filing system, and carry out various administrative duties.
    • Provide personal assistance when required, such as managing personal appointments and errands.
  • Project Assistance:
    • Support the CEO in various projects by offering administrative help, conducting research, and following up on deliverables.
  • Confidentiality and Professionalism:
    • Maintain a high level of confidentiality in handling sensitive information and correspondence.
    • Exhibit professionalism, respect, and discretion in all interactions.

Job Requirements

  Requirements:

  • Education: A bachelor’s degree or equivalent in a related field is preferred.
  • Experience: At least 3-5 years of experience as a Personal Assistant or in a similar administrative role, preferably supporting senior executives.
  • Skills:
    • Exceptional organizational and time-management abilities.
    • Strong written and verbal communication skills in English, Bahasa Melayu, and Mandarin.
    • Ability to work independently as well as part of a team.
    • Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.).
    • High attention to detail with strong multitasking capabilities.
    • Demonstrated discretion and confidentiality in handling sensitive information.
    • Flexible and adaptable to the CEO’s needs and organizational requirements.
