Key Responsibilities (including but not limited to):

  • Planning and coordination: Assist in the planning and coordination of events, including conferences, seminars, workshops, product launches, trade shows, and social events. This involves researching venues, vendors, and suppliers, managing event budgets, and preparing event timelines.
  • Logistics management: Support the logistical aspects of events, such as venue selection, contract negotiation, transportation arrangements, accommodation bookings, and equipment rentals. You may also be responsible for managing event registration systems and databases.
  • Vendor and supplier coordination: Liaise with various vendors and suppliers involved in event production, including caterers, audiovisual technicians, printers, decorators, and transportation providers. Help with obtaining quotes, negotiating contracts, and ensuring timely delivery of services.
  • Marketing and promotion: Assist in developing marketing and promotional strategies for events. This may involve creating event flyers, brochures, and other promotional materials, as well as managing social media accounts and coordinating with the marketing team to ensure event visibility.
  • On-site event management: Support the execution of events by assisting with set-up and breakdown, coordinating with vendors and suppliers, managing registration and attendee check-ins, and addressing any on-site issues or emergencies that may arise.
  • Attendee support: Provide assistance and support to event attendees, including answering inquiries, resolving issues, and ensuring a positive experience throughout the event.
  • Documentation and reporting: Assist in maintaining event documentation, including contracts, invoices, attendee lists, and post-event reports. This may involve collecting feedback from attendees and stakeholders and preparing summary reports for evaluation.
  • Team collaboration: Work closely with the event management team and other relevant departments to ensure seamless coordination and communication throughout the event planning and execution process.

Requirements:

  • Pursuing or recently completed a degree in event management, hospitality, marketing, communications, or a related field. Relevant coursework or certifications in event planning can be advantageous.
  • Strong organizational and time management skills to handle multiple tasks and meet deadlines.
  • Excellent communication skills, both verbal and written, to effectively interact with team members, clients, and vendors.
  • Attention to detail and ability to work with precision in planning and executing events.
  • Basic financial and budgeting skills to assist in managing event finances.
  • Proficiency in computer applications such as spreadsheets, word processing, and presentation software.
  • Familiarity with event management software or online registration platforms is a plus.
  • Creativity and problem-solving abilities to handle unexpected challenges.
  • Ability to work well in a team environment and collaborate with diverse individuals.
