<p><strong>The Opportunity</strong></p>
<p>Reporting to the Head of School, the Senior Administrative Executive provides a range of high-level secretarial, administrative and office management services to support the operations of the office of the Head of School. The Senior Administrative Executive undertakes key support functions to ensure the smooth and professional operation of the office including: drafting and editing correspondence, papers and reports, facilitating communication and workflow, scheduling meetings, event coordination, providing secretarial support for committees and working groups, managing and screening telephone calls, diary management and liaising with university staff and external bodies. The incumbent is required to have in-depth knowledge of School, Campus and University up-to-date policies, procedures and best practices and provide advice to the Head of School upon consultation.</p>
<p>As the successful candidate, you will be the first point of contact for internal and external stakeholders to the School of Science ensuring professional mannerism, respect for confidentiality and appropriate attention to the needs of those seeking contact. You are responsible to provide a range of executive support and office management services to the Head of School. You are expected to actively initiate continuous improvement activities to streamline processes and facilitate administrative efficiency.</p>
<p><strong>Key Responsibilities</strong></p>

<li>Provide a range of executive support and office management services to the Head of School, including but not limited to:</li>
</ol>

<li>Facilitating communication and workflow</li>
<li>Producing correspondence, reports, briefings, presentations and other written advice</li>
<li>High level organisational and planning support for initiatives directly emanating from the Head of School i.e. assist in the preparation of communications and presentations, organise and prioritise the Head of School work schedule, electronic diary and committee responsibilities, prepare agendas and record minutes of meetings.</li>
<li>Organising domestic and international travel requirements for the Head of School</li>
<li>Coordinating and managing functions / events on behalf of the Head of School and School Management. </li>
<li>Screening telephone calls and fielding inquiries.</li>
<li>Preparing and presenting quality reports, statistical data and correspondence to the School Management Committee,  School Academic Committee, and other committees chaired by the Head of School including collating and distribution of meeting papers.</li>
<li>Executive support to standing and ad hoc School’s level committees and working groups, preparing agendas, organising logistics, taking and preparing minutes and implementing follow-up action items</li>
</ul>
<ol>
<li>Be the first point of contact for internal and external stakeholders to the School of Science ensuring professional mannerism, respect for confidentiality and appropriate attention to the needs of those seeking contact.</li>
<li>Provide logistics planning and support include developing itineraries, arranging accommodation, conference bookings and travel arrangements as required for the School Management and guests to the School of Science. </li>
<li>Develop, establish and maintain effective record management, filing and reporting systems.</li>
<li>Actively initiate continuous improvement activities to streamline processes and facilitate administrative efficiency.</li>
<li>Build and sustain effective working relationships with a network of internal and external contacts to facilitate communication, understand business needs and deliver effective, consistent services.</li>
<li>Contribute to ongoing reform and innovation to ensure operational efficiency and excellence.</li>
<li>Other duties as directed from time to time.</li>
