Responsibilities/What we want you to do?
Property & Building Operations
- Oversee day-to-day operations of completed projects.
- Oversee and ensure buildings, common areas, facilities, and services are properly maintained.
- Monitor building cleanliness, security, landscaping, M&E systems, lifts, fire protection, and other facilities.
- Ensure compliance with approved SOPs, building standards, and relevant regulations.
Facilities & Maintenance Management
- Oversee preventive and corrective maintenance programs.
- Oversee contractors, maintenance vendors, and service providers.
- Review maintenance schedules, quotations, work orders, and service performance.
- Coordinate rectification of defects and building-related issues.
- Monitor building equipment and asset conditions and recommend replacement or upgrading when required.
Property Management
- Manage and handle tenants, purchasers, residents, or owner-related matters.
- Handle complaints, feedback, requests, and disputes professionally.
- Monitor occupancy, tenancy matters, rental collection, or service-charge-related matters where applicable.
- Ensure common facilities and amenities are properly managed.
Budget & Cost Control
- Prepare and manage the annual operating and maintenance budget.
- Monitor operating expenses, sinking fund/capital expenditure, and maintenance costs.
- Review contractor quotations and negotiate costs where appropriate.
- Ensure expenditure remains within approved budgets.
Contractor & Vendor Management
- Appoint and supervise contractors and consultants.
- Evaluate vendor performance and ensure contractual obligations are met.
- Review service agreements and renewal requirements.
- Ensure contractors comply with safety, insurance, licensing, and statutory requirements.
Compliance & Risk Management
- Ensure compliance with relevant laws, regulations, local authority requirements, fire safety requirements, and building management requirements.
- Coordinate statutory inspections, permits, certificates, and renewals.
- Implement building safety, emergency response, and risk-management procedures.
- Maintain proper documentation and records for audits and inspections.
Team Management
- Lead and supervise property management, facilities, maintenance, security, cleaning, and administrative teams.
- Set KPIs and monitor staff performance.
- Conduct training and ensure staff follow company SOPs.
- Manage manpower planning and operational coverage.
Handover & Defect Management for Developer
- Coordinate project handover from the development/construction team to property management.
- Review building drawings, O&M manuals, warranties, asset registers, and equipment information.
- Coordinate vacant possession and common-property handover.
- Manage defects during the Defect Liability Period.
- Liaise with consultants, contractors, purchasers, JMB/MC/management bodies, and relevant authorities.
- Ensure the completed development is operationally ready before handover.
Developer Representative and Responsibility
- Act as the developer representative for completed projects.
- Formation of JMB/MC when necessary.
- Attend JMB/MC/AGM meeting as the developer representative.
- Attend to tribunal and COB matters accordingly.
Reporting to Management
- Prepare regular property and operational reports for senior management.
- Report on maintenance, complaints, defects, budgets, arrears, incidents, contractor performance, and building condition.
- Provide recommendations for cost savings, asset enhancement, and operational improvements.
Manage owner properties
- Manage balance unsold units, seeking and manage tenants, maintenance and collect rental revenue.
- Manage owner properties (lands & buildings), protect land boundaries, maintain vacant sites, preserve building fabric.
