Job Description

Role Overview

The Marketing & Administrative Executive will provide administrative and coordination support to the marketing department. This role focuses on documentation, vendor coordination, quotation sourcing, price comparison, and event arrangement to ensure smooth execution of marketing activities.

The ideal candidate is organized, detail-oriented, and able to manage multiple administrative tasks efficiently.

Key Responsibilities

Administrative Support

  • Provide administrative support to the Head Of Marketing and marketing team.
     
  • Prepare and maintain marketing documentation, reports, and records.
     
  • Organize files, contracts, and marketing-related paperwork.
     

Vendor & Quotation Management

  • Source and obtain quotations from vendors and suppliers.
     
  • Compare pricing, prepare cost comparisons, and assist in vendor selection.
     
  • Liaise with vendors to coordinate production timelines and delivery.
     

Event & Project Coordination

  • Assist in organizing marketing events, exhibitions, and promotional activities.
     
  • Coordinate logistics such as venue arrangements, booth setup, and materials preparation.
     
  • Ensure all necessary materials and documents are prepared before events.
     

Marketing Operations Support

  • Assist in coordinating marketing materials such as brochures, signage, and promotional items.
     
  • Support the team in tracking project timelines and task completion.
     

General Coordination

  • Liaise with internal departments such as operations, finance, and sales when required.
     
  • Assist with ad hoc tasks assigned by the CMO.
     


 


Job Requirements

Requirements

  • Diploma or Degree in Business Administration, Marketing, or related field
     
  • 1–3 years experience in administrative, marketing admin, or coordination roles
     
  • Strong organizational and documentation skills
     
  • Ability to compare quotations and manage vendor communication
     
  • Good communication skills in English and Mandarin
     
  • Proficient in Microsoft Office / Google Workspace
