Job Description

Enable the smooth operation and growth of the Malaysia & Singapore chapter of SAMA by managing administrative, operational and member-coordination functions; support the execution of chapter programmes, events and partnerships; act as a key liaison between the regional alliance and the local market.

KEY RESPONSIBILITIES

  1. Manage membership database: onboarding new members, maintaining records, coordinating renewals and communications. 
  2. Coordinate, plan and assist in the execution of chapter events (meet-ups, panels, workshops, member forums) in Malaysia and Singapore.
  3. Provide administrative support to the Chapter Lead: scheduling meetings, preparing presentation decks or reports, managing correspondence.
  4. Liaise with member agencies, partners and sponsors to support programme delivery and chapter initiatives. 
  5. Monitor chapter KPIs (e.g. membership growth, event attendance, satisfaction) and prepare regular status updates.

 KPI/SUCCESS METRICS

  1. Timeliness of execution: Tasks and deliverables completed within agreed timelines and deadlines. 
  2. Accuracy and quality: Reports, data, and communications are precise, well-organised, and error-free. 
  3. Proactiveness in coordination: Anticipates needs, follows up promptly, and ensures smooth execution without constant supervision.
  4. Communication and alignment: Maintains clear, consistent updates that ensures all stakeholders are informed and aligned. 


Job Requirements

 

  1. Min. 1 year in administrative, operations or event-coordination role (preferable agency/marketing environment)
  2. Strong organisation skills, attention to detail, able to manage multiple tasks and deadlines.
  3. Excellent communication skills (written and verbal) in English and BM with extroverted personality.
  4. Proficient in using Google Workspace and Microsoft Office Suite.
