Job Description

  • Perform general administrative duties such as filing, data entry, and document control
  • Prepare and manage reports, service reports, and correspondence
  • Maintain proper record-keeping (staff records, attendance, leave, etc.)
  • Assist in coordinating maintenance schedules, PPM activities, and contractor appointments
  • Handle incoming calls, emails, and client inquiries professionally
  • Support procurement processes (raising PO, tracking deliveries, liaising with suppliers)
  • Monitor and update trackers (e.g. quotation tracker, work progress, capping records)
  • Assist HR-related tasks (staff documentation, onboarding, leave tracking, basic payroll support)
  • Ensure all documents are properly signed, stamped, and filed
  • Provide administrative support during audits, inspections, or reporting periods

Job Requirements

  • Minimum Diploma in Business Administration, Management, or related field 
  • 1–3 years of administrative experience preferred 
  • Experience in facilities management, maintenance, or property-related industries is an added advantage 
  • Fresh graduates are encouraged to apply 
  • Proficient in Microsoft Office (Word, Excel, Outlook) 
  • Experience with documentation control and administrative filing systems 
  • Basic knowledge of procurement processes 
  • Basic understanding of HR administrative processes 
  • Strong organizational and multitasking abilities 
  • Good time management skills 
  • Strong attention to detail and documentation accuracy 
  • Good communication skills in English and Bahasa Malaysia 
  • Able to work independently with minimal supervision 
  • Team player with strong coordination skills
