As Project Manager (Live Events), you will be the operational backbone behind every show, tour, and festival that LOL Asia produces. This role is designed for a highly organised and experienced events professional who can manage complex, multi-stakeholder projects from initial brief through to post-show wrap-up — on time, within budget, and to the standard that LOL Asia’s audience expects. You will coordinate across internal teams, external vendors, venues, and talent to ensure that every production detail is accounted for and every moving part is aligned. This is a fast-paced, detail-driven role that requires both strong process management and the ability to make calm, decisive calls under pressure.

End-to-End Event Project Management
- Lead the full project lifecycle for all LOL Asia live events including concerts, comedy shows, tours, and festivals — from planning and pre-production through execution and post-event close-out
- Develop and maintain comprehensive project plans, production schedules, run-of-show documents, and critical path timelines for each event
- Manage all event logistics including venue coordination, stage production, technical requirements, artist hospitality, ticketing operations, and front-of-house management
- Ensure all pre-event milestones are met on schedule and escalate risks or blockers promptly to the CEO
- Be present on-site during events to oversee execution and manage any real-time issues that arise
Vendor & Supplier Coordination
- Source, negotiate, and manage contracts with vendors including production companies, AV and lighting suppliers, staging crews, catering providers, security teams, and other event service partners
- Build and maintain a reliable network of preferred vendors and service providers across all key markets
- Brief vendors clearly on scope, timelines, and quality standards, and hold them accountable to deliverables
- Manage venue relationships end-to-end including venue sourcing, booking, technical riders, and post-event settlement
- Coordinate artist and talent logistics in alignment with management, including travel, accommodation, hospitality riders, and production requirements
Budget & Cost Management
- Own and manage the production budget for each event, tracking expenditure against approved budgets and flagging variances proactively
- Obtain quotes and negotiate costs with vendors to achieve the best value without compromising production quality
- Process purchase orders, manage invoices, and liaise with the Finance team to ensure all payments are accurate and timely
- Provide regular budget updates to the CEO and flag any cost overruns or savings opportunities as they emerge
- Conduct post-event cost reconciliation and contribute to improving budget accuracy for future events
Stakeholder & Team Coordination
- Act as the central coordinator between internal teams including Marketing, Finance, Creative, and BD to ensure all event-related workstreams are aligned and on track
- Facilitate regular production and project meetings, maintaining clear agendas, action trackers, and follow-up accountability
- Communicate clearly and proactively with all stakeholders including talent management, venue partners, sponsors, and internal leadership
- Prepare and distribute event briefs, run-of-show documents, and post-event reports to all relevant parties
- Manage and mentor junior production or event support staff where applicable
Risk Management & Problem Solving
- Identify and assess potential risks across all areas of event production and develop contingency plans to mitigate them
- Manage unexpected issues during live events calmly and decisively, making real-time calls to protect show quality and audience experience
- Ensure all events comply with local regulations including venue licensing, public liability requirements, and health and safety standards
- Maintain and update risk registers and incident logs for all events, feeding learnings back into future planning processes
Post-Event Review & Reporting
- Conduct post-event debriefs with internal teams and key vendors to capture learnings and identify areas for improvement
- Prepare post-event wrap reports including financial reconciliation, audience and operational highlights, and recommendations for future events
- Maintain thorough documentation of all event processes, vendor contacts, and production learnings to build institutional knowledge
- Continuously refine and improve LOL Asia’s standard operating procedures for event production
Job Requirements
Qualifications:
- Minimum 4–7 years of experience in live event or project management, ideally within the entertainment, concerts, festivals, or performing arts industry
- Proven ability to manage multiple events simultaneously across different markets and at varying scales
- Strong command of project management tools and methodologies; proficient in tools such as Asana, Monday.com, Notion, or equivalent
- Excellent budget management skills with hands-on experience tracking production costs and reconciling post-event accounts
- Outstanding organisational skills with meticulous attention to detail and the ability to manage competing priorities under pressure
- Strong communicator with the ability to coordinate effectively across internal teams, talent management, venues, and vendors
- Comfortable working flexible hours including evenings and weekends during live events
- Willingness to travel regionally for events and production recces
- A genuine passion for live events, music, comedy, and pop culture
Employment Terms- Salary:
Competitive, based on experience and industry standards.
Performance Bonus: Based on achievement of event delivery targets, budget adherence, production quality, and stakeholder satisfaction.
Contract Term: Full-time, with an initial term of one year, renewable based on performance.
Travel: Regular travel within Southeast Asia required for event production and venue management.
