Job Description

  1. Administrative support:
  • Provide general administrative support to the team, including scheduling meetings and maintaining calendars.
  • Assist in preparing presentations and general business materials.
  • Support the onboarding process for new team members .

2. Communication:

  • Act as a liaison between departments such as sales, warehouse, logistics, marketing, finance, and operations 
  • Foster effective communication among team members and ensure relevant updates are shared in a timely manner.

3. Delivery Coordination:

  • Collaborate with logistics and warehouse teams to schedule and coordinate deliveries. 
  • Monitor delivery schedules and follow up on any issues or delays.
  • Ensure all delivery documentation is complete, accurate, and properly filed.

4. Packaging Materials & Inventory Management:

  • Assist in ordering and maintaining inventory of packaging and warehouse materials.
  • Coordinate with suppliers to ensure timely delivery of materials.
  • Support basic quality checks and compliance of packaging materials.

5. Reporting Support:

  • Assist in compiling operational data from different departments.
  • Prepare and format weekly/monthly operational reports for management review.
  • Maintain accurate records related to operations, inventory, and deliveries.

6. Order & Documentation Management:

  • Assist in processing orders and ensuring all required details are accurate and complete.
  • Track order and delivery status and coordinate with logistic to ensure timely delivery.
  • Communicate with customers regarding order updates and inquiries.

7. Additional Responsibilities:

  • Support ad-hoc projects as assigned by the sales manager or general manager.
  • Continuously identify and recommend process improvements to enhance efficiency.

Job Requirements

  • Diploma & Bachelor’s degree in business, marketing, or a related field (preferred).
  • Previous 1 or 2 years experience in admin support or administrative role.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).
  • Excellent communication skills, both written and verbal.
