This role is important to help Jom Accounting grow into a reliable, scalable, and process-driven bookkeeping and payroll service.

Role Purpose

We are looking for a capable and responsible Accounts Executive – Bookkeeping & Payroll Services to manage bookkeeping, basic payroll preparation, statutory submission support, and client accounting records.

The ideal candidate should have experience working in an accounting practice, bookkeeping firm, outsourced accounting provider, or similar environment. This person must be able to handle multiple client accounts, follow up on missing documents, prepare accurate records, and complete work within agreed deadlines.

This role requires someone who is independent, hungry to grow, self-driven, detail-oriented, and comfortable communicating with clients.

Requirements

Must-Have Requirements

  • Minimum 3 years of working experience in an accounting practice, bookkeeping firm, outsourced accounting provider, accounting firm, or similar environment.
  • Preferably experienced in bookkeeping for multiple SME clients.
  • Familiar with accounting software such as SQL Accounting, AutoCount, Xero, QuickBooks, or Sage.
  • Able to prepare basic monthly payroll and support statutory contribution preparation.
  • Familiar with Malaysian payroll items including EPF, SOCSO, EIS, and PCB / MTD.
  • Able to handle bookkeeping and payroll tasks independently with minimal supervision.
  • Strong understanding of basic accounting principles, double-entry bookkeeping, reconciliations, and month-end closing.
  • Good attention to detail and strong sense of accuracy.
  • Can speak Mandarin.
  • Able to work from office 3 days per week.
  • Must have own transport.
  • Good communication and follow-up skills.
  • Responsible, proactive, self-driven, and willing to learn.

Good-to-Have Requirements

  • Diploma or Degree in Accounting, Finance, Business, or related field.
  • Experience handling full set accounts.
  • Experience managing client portfolios in an outsourced accounting or bookkeeping environment.
  • Experience using payroll software such as SQL Payroll, AutoCount Payroll, Kakitangan, Talenox, Swingvy, or similar systems.
  • Basic understanding of SST, audit schedules, tax agent support, EA forms, and annual payroll reporting.
  • Good Microsoft Excel or Google Sheets skills.
  • Experience cleaning up messy accounts or historical bookkeeping records.
  • Comfortable working with digital tools, cloud accounting, and online document collection workflows.

Job Requirements

1. Bookkeeping and Accounting Records

  • Handle bookkeeping for assigned client portfolios.
  • Record daily accounting transactions accurately, including sales, purchases, receipts, payments, journals, and adjustments.
  • Maintain proper general ledger, accounts payable, accounts receivable, and bank records.
  • Perform bank reconciliations, debtor reconciliations, creditor reconciliations, and other accounting schedules.
  • Ensure accounting records are complete, properly classified, and updated on time.
  • Maintain organized digital filing for invoices, receipts, bank statements, payroll records, and supporting documents.
  • Identify missing documents, unusual transactions, unreconciled items, and possible accounting errors.

2. Month-End Closing and Reporting

  • Assist in monthly closing for assigned client accounts.
  • Prepare basic management accounts, profit and loss statements, balance sheets, trial balance, and supporting schedules.
  • Prepare monthly bookkeeping summaries for client review where required.
  • Highlight financial irregularities, incomplete records, or repeated client documentation issues.
  • Support preparation of reports required by clients, tax agents, auditors, or management.
  • Ensure closing work is completed according to agreed timelines.

3. Payroll Preparation and Statutory Submission Support

  • Prepare basic monthly payroll calculations for client employees.
  • Process salary, allowance, overtime, unpaid leave, deduction, bonus, commission, claim, and reimbursement records based on client input.
  • Prepare payroll summaries and pay slips.
  • Assist with basic statutory contribution calculations and submission preparation, including: EPF, SOCSO, EIS, PCB / MTD.
  • Prepare contribution summaries or payment files for client review and approval.
  • Follow up with clients for payroll input, including new joiner details, resignation details, salary changes, leave records, overtime records, claims, and deduction information.
  • Maintain proper payroll records and supporting documents.
  • Handle salary and employee information with strict confidentiality.
  • Highlight payroll discrepancies, missing employee information, or unusual payroll instructions to management.

4. Client Portfolio Management

  • Manage multiple bookkeeping and payroll clients independently.
  • Communicate professionally with clients to request documents, clarify transactions, and follow up on outstanding matters.
  • Help clients understand basic bookkeeping or payroll issues in a simple and practical way.
  • Track client deadlines and ensure assigned work is completed on time.
  • Escalate recurring delays, messy records, unclear instructions, or client-side issues early.
  • Build trust with clients through accuracy, responsiveness, and reliability.

5. Accounting Software and Systems

  • Use and maintain client accounting records in software such as: SQL Accounting, AutoCount, Xero, QuickBooks, Sage.
  • Support data entry, data cleanup, opening balance setup, chart of accounts maintenance, and transaction classification.
  • Use payroll software or online portals where required.
  • Follow internal checklists, SOPs, filing structures, and quality control processes.
  • Suggest improvements to bookkeeping, payroll, and reporting workflows.

6. Compliance and Quality Control Support

  • Ensure bookkeeping records are maintained in line with Malaysian accounting practices and client requirements.
  • Support basic SST record preparation where applicable.
  • Support year-end audit and tax documentation preparation.
  • Assist with EA form preparation or annual payroll summaries where required.
  • Check own work carefully before submission for review.
  • Protect client confidentiality and financial data at all times.
  • Maintain proper documentation to support accounting and payroll work.

7. Process Improvement and Team Support

  • Identify ways to improve turnaround time, accuracy, client document collection, and service quality.
  • Support the development of bookkeeping and payroll templates, checklists, and SOPs.
  • Share practical improvement ideas with the team.
  • Support other finance or accounting tasks assigned by management when required.
